Essential Functions & Responsibilities

- Develop and strong relationship with INGO/UN agencies and other Local Organizations which activities, information and resources are being available.
- Assist to maintain GNMMR project safety run and secure condition.
- Develop, strong relationship with, and cooperate with project staff for their logistics needs and resources needs.
- Arrange for the vehicle repairing, license extension and purchasing of the vehicle parts if necessary and also transportation arrangement for vehicle requirement and requested from staff.
- Arrange the supporting materials, and responsible to coordinate transport arrangements of visiting/processing activities to the project areas.
- Provide and handle the procurement and timely arrangement the procurement plan of Head Office and all projects needs.
- Maintain complete and accurate expenses records and reports of the GNMMR project used by Administrative and Logistics.
- Assist in preparation of the standard contract agreement, Lease, Tender and Bidding systematically.
- Keep and record the warehouse items in / out, update the stock balance and follow the warehouse flow system.
- Deal with problems and issues that emerge, as far as possible. It the issue goes beyond own mandate and / or resources, bring it to attention of the Admin and logistics Officer.
- Prepare monthly Admin-Logistics plan and submit to the Admin and Logistics officer.

Administration Support
- Arrange for obtaining visas, stay permits, air tickets and travel permission. Arrange for various other Government offices to maintain necessary permissions, tax exemption, registering, appointment, etc to operate legally and effectively.
- Assist to Admin/log officer for preparing letters to Government, INGO, LNGO and Local Partner for Administration and Logistics Concern.
- Arrange for reservation and booking for accommodation if needed, as directly by the Admin and Logistics officer.
- Answer the telephone calls. Make the phone calls. Handle the enquires.
- Maintain the office notice board.
- Receive the visitors in the office (to welcome the visitors and prepare drinks for visitors) and handle other enquires.
- Maintain and update office stationary cup board, buy the stationary as requested and needed
- Handle all mails receiving and sending. (Receive the mails and distribute it to individuals and GNMMR’s project areas and partners.)
- Type, print, copy and filing the necessary documents.
- Support all the arrangement for meeting which is to be held in the office or outside. (Appointment, venue, food and refreshment etc ;)
- Responsible for the all rental payment and arrange payments for bills (electricity, water, phone and service) regularly and on time. Check expenses vouches.
- Handle all the arrangement for Head Office building and all Project Office building maintenance, repairing and renovation works.
- Maintain systematically on office filing, computer filing and project filing and also concerning of admin/logistics.
- Handle GNI’s properties for legally ownership by organization that relative with the government act.
- An entry on GNMMR’s office and project asset lists, check and update these entire records quarterly basis.
- Assist in GNMMR projects (like, M&E, Plan, communication, administration and logistics.)
- Generate inventory reports, annually and/or as needed.

General responsibilities
- Undertake any other duties appropriate to the post as may be required.

Job Requirements

Qualifications:
- Must have university degree or equivalent of experience in similar position.
- Have a strong aspiration and interest in humanitarian and community development works
- Skills in administration and logistics management systems and procedures.
- Proficiency in MS Office.
- Pleasant personality
- Experience in communications on development, humanitarian and government policy issues.
- Able to pay attention to detail and problem solving skills.
- Ability to communicate in a diplomatic and assertive manner
- Strong communication skills (Myanmar & English) – can persuade, network and negotiate and clear ability in written communications.
- Must have strong organisational and planning skills.
- Able to work gracefully under pressure; able to prioritize and handle multiple tasks.
