Administration managers organize and supervise all of the administrative and fleet activities that facilitate the smooth running of an office. He/she all have the responsibility for ensuring that office runs efficiently for all offices.
An administration manager carries out a range of administrative and depending on the employing organization.
Administration Section:
Design, implementing and promoting equality and diversity office policies
Developing and implementing new administrative systems, such as record management, fleet section.
Recording office expenditure and managing the budget; cost control
Organizing the office layout and maintaining supplies of stationery and equipment such as to purchase office equipment, telephone accessories and the office inventory for the entire office , etc
Maintaining the condition of the office and arranging for necessary repairs, ensure inventories for residence are fully supported, and to ensure that all office equipment and utilities are in good operating conditions and arranges for necessary/ schedule repairs.
To ensure the whole office including meeting room, pantry, library, smoking area, toilets etc are purely cleaned
Organizing the event management and branding products (Celebrates monthly and occasional parties, big event and to order by business cards, ID cards, greeting cards and occasional cards and vinyl, to Order pens, hats, bag pack, t shirts, cups ., etc)
To facilitate long stay visa , visa application and arrange accommodation for long stay expats
To Organize for lockers and issue employees’ ID card, staff uniforms and stationery.
To welcome board members and arrange pick-ups, mobiles, expat guide etc
Maintaining fixed assets records and conduction assets reconciliation for nationwide
Overall bills processing such as raise PO vehicles, office hire, residence, electricity bills, security guards, landline.
Delegating and Supervise work to office staff and managing their workload and output such as to evaluate the record of OT, approve OT, leave and duty assignment, performance appraisal.
To ensure the security guards are properly working and secure the office
Fleet Section:
Developing, implementing and enforcing vehicle management best practices, policies and procedures.
Develop the effective resource usage report such as car tracker, accommodation tracker and GPS report.
Implement the effect fleet management log book.
Ensure preventive maintenance programs are carried out as per schedule and monitor post repair performance.
Supervise and if necessary undertake the timely repair and servicing of damaged vehicles in order to minimize downtime
Control transfer and movement of vehicles between project locations as required by operations
Ensure all vehicle operation policies and systems are up to date and enforced within field operations
Review and administer Vendor service contracts and ad hoc field supplies as required.
Implement the termination of employee and replace all the cars rented from employees.
Other responsibilities are consultant by CHRO time to time as usual as administrative
Job Requirements
Qualification & Experience:
University Degree preferably in Management, Public administration or relevant combination of academic qualification
Preferably at least three years’ experience in administrative management working with Int’ company or similar positions in private sector
Ability to act independently to identify and analyze problems and recommend effective solution
Computer literate and extensive experience in working with Microsoft Excel and Word
Preferably spoken and written English
High level of social communication skills/interpersonal skills and good skills in team-‐work
Flexibility and positive attitude with a good sense of humor!
