Job Description

A Fantastic Opportunity for ...

Under the direct supervision of Head of Sub-Office, Business Support Assistant (Admin) will be responsible for the following duties:-

Gather data from Head of Sub-office and programme colleagues, and prepare monthly Cash Forecast request to YangonCountry Office;
Keep sufficient funds to be available for Sub office and programme activities;
Ensure that WINGII is well maintained and all supporting documentation is completed;
Maintain Petty Cash account of sub-office;
Assist in monitoring status of expenditures and allotments through WFP corporate systems, record variations, update budget tables and consolidate data for budget review;
Extract and input data from various sources in administrative, human resource, procurement and other WFP corporate systems;
Maintain a selected number of administrative control records, such as for commitments and expenditures, travel, insurance, procurement and other;
Initiate and process administrative actions such as those found in human resources, travel, procurement, disbursement;
Arrange written tests andinterviews to follow and coordinate with the HR Department of Yangon Country Office;
Draft correspondence relating to the area of responsibility;
Supervise and provide guidance to the (Driver & Office Helper) in the sub-office;
Arrange meetings such as workshops and seminars;
Make travel arrangements in line with administrative rules and procedures;
Set up, classify and maintain files;
Any other responsibilities as may be delegated by the supervisor.

Job Requirements

Education:
Minimum Secondary school education. Formal training in administration will be an advantage.

Kowledge and Skills:
Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
Knowledge of work routines and methods in order to complete processes under minimal supervision.
Uses tact and courtesy to give and receive information to a wide range of individuals.
Ability to identify data discrepancies and rectify problems requiring attention.
Ability to offer guidance or basic on-the-job training to more junior staff.
Typing 35 wpm in English.
Knowledge of UN (or) WFP administrative procedures in the area of finance, budget, human resources, transport, procurement or travel will be an advantage.


Language:
Fluency in both oral and written communication in English and Myanmar. The ability to communicate in local language is an asset.
