• Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.• Maintains and protects operations by keeping information confidential.• Completes projects by assigning work to clerical staff; following up on results.• Prepares reports by collecting and analyzing information.• Contributes to team effort by accomplishing related results as needed.• Coordinate executive communications, including taking calls, responding to emails and interfacing with clients • Prepare internal and external corporate documents for team members and industry partners • Schedule meetings and appointments and manage travel itineraries • Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events • Uphold a strict level of confidentiality • Plan appointments and events• Manage phone calls and emails• Review and recommend changes to our company policies• Take dictation and meeting minutes, accurately enter notes and distribute• Develop and carry out an efficient documentation and filing system for both paper and electronic records
• Minimum Bachelor Degree and over 5 years experience in Executive Assistant reporting directly to senior management• Knowledge of office procedures• Familiarity with online calendars and cloud systems• Experience using office equipment, including printers and fax machines• Strong communication skills (via phone, email and in-person)• Experience exercising discretion and confidentiality with sensitive company information• Excellent organizational skills with an ability to think proactively and prioritize work• High school degree; additional qualifications as Personal Assistant or Secretary are a plus• Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software • Proficiency in collaboration and delegation of duties • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities • Exceptional interpersonal skills and English Language skill
