Job Description

A Big Opportunity for ...

This position will be overseeing and managing full administration scope including fleet management, office maintenance, general administration and safety & security of Lluvia Limited Confectionery Office and ensure that the system and procedures are in place and that the services provided meet customer satisfaction. And the role will be under direct supervision of Head of General Operation & Regulator Affair.
HR Functions
• Assist in negotiating collective bargaining agreements with the union
• Assist DHRM in dispute resolution involving employees, management, unions, government agencies, etc.
• Advising factory management on issues regarding union-management relations, such as contract negotiations
• Development and ensuring healthy work relationships and a supportive atmosphere at the workplace
• Explore and implement various employee engagement programs in factory
• Liaise with the MML HR team for the other HR functions of L&D, Performance Management System, Payroll, Compensation and Benefit and Recruitment
• Handle ISO documentation as part of the team
• Deal with complex disciplinary issues like Theft, Fraudulent and Conflict of Interest cases/ Grievance like accident and death cases arise in factory according to company policies and procedures
• Ensure to comply the company policies and procedures, employment contract, regulatory requirement and to suggest the management team if there’s any to update/ upgrade/ modify
• Manage outsource manpower agencies to deliver resources as required by business, including HR issues coordination based on agreed contract
• Monitor the performance of different outsourcing agencies and advice management to extend or terminate the contract
General Administration
• Establish, develop and implement all business services policies, standards, system and procedures to improve operations of FMCG division
• Enforce and implement company & departmental policies, guidelines, systems within the department
• Enforce and ensure the compliance of government regulations & requirements within the company, including the preparation and timely submission of documentation such as fire insurance, YCDC license & fire safety.
• Responsible for handling local procurement for office stationaries, accessories and Office Supplies etc... which are used for FMCG division
• Responsible in arranging efficient travel management such as accommodation and transportation for branch staffs and visitors
• Manage and maintain the cleanliness of office and premises in high standard at all time.
• Liaise with Managers and other functional heads as necessary
Fleet Management
• Lead and manage Division Office fleet team (vehicle manager, drivers, mechanic, etc.) to ensure optimum and efficient use of vehicles and drivers.
• Supervise and monitor status of fleet cars in terms of contracts, their adequate use, movements, fuel consumption, maintenance etc.
• Recommend options/alternatives to ensure sufficient fleet coverage for Lluvia operations. Monitor to ensure that all car movements are entered in the log book and said movements are reconciled with the monthly hour control of drivers and the good working condition of all vehicles.
• Maintain and monitor the fuel consumption report and ensure that fuel is efficiently managed

Building Management
• Manage maintenance team and ensure required maintenance/ repair of office buildings, equipment and generators are done in timely manner
• Monitor and ensure that the building systems – security guards and equipment, generator, air-conditioning, access control, ventilation system, electrical and lighting system, fire protection system, waste water treatment and pipe water, etc. are well functioning and met required standard with effective running cost and low downtime
• Develop and implement the house rules and operational procedures, and ensure that they are known and strictly followed by all concerned

Safety & Security
• Provide a safe and secure work environment; fostering a safety and security culture and ensure
• Actively implement the building emergency plan and arrange the fire drill, in corporate with other concerned departments, as required by law
• Supervise the activities of security guards. Check and control their work schedules and ensure the alignment of work with Company policy.

Job Requirements

• Minimum of Bachelor Degree Holder (preferable in Business Administration and or related specialization)
• Minimum 5 years professional experience in a similar administration management role in an organization preferable in FMCG industry
• Good management skills and ability to undertake multiple tasks
• Ability to remain calm under pressure
• Relates with various functions and at all levels within and outside
• Demonstrated proactive and strong leadership, good problem solving skills and effective decision making ability
• Good communication skills (both written and spoken in English and Myanmar)
• Good knowledge of computer skills (particularly Microsoft Excel, Word and Power Point)
• Demonstrated flexible approach and ability to work under pressure and to organize and manage workload to meet deadlines
• Participation of the logistics team Fleet, Vehicle and Generators management experience/knowledge
