Job Description

- Under minimal supervision, performs highly complex clerical, administrative and secretarial duties to assist senior and professional members of Department
- Interacts with other Offices/Departments and outside individuals and/or organizations to obtain and provide complex information
- Screens calls, visitors and mail; responds to requests for information and attempts to resolve users' issues
- Coordinate the prompt delivery of required IT service requests to support business operations. Perform timely analysis and prioritization of reported incidents, working closely with relevant IT subject matter experts for prompt resolution, in line with the established operational support model.
- Keeps technology license and legal documents up to date and monitors contracts with technology vendors
- Handles calendaring and scheduling for information technology support staffs to ensure appropriate delivery of technical services to users
- Collects and arranges information needed for IT projects
- Orders and maintains inventory of office and other departmental supplies and equipment for IT; tracks expenditures; ensures operations of office equipment \
- Tracks departmental purchase and expenditures and prepares summary reports; determines and codes account numbers; prepares & tracks vouchers
- Acts as the main informational contact for the department; ensures appropriate procedures are followed; makes adjustments to procedures as required and reviewed by Line Manager
- Creates & distributes correspondence such as letters, memos and email announcements for the purpose of informing users of information technology.
- Provides basic technical support to end-users in person, over the phone, and via email as necessary or assigned
- Ensure that all users are equipped with workspace and collaboration tools and ensure that IT equipment and configuration adhere to JTI's policy and procedures.
- Create, update and maintain Excel spreadsheets, Power Point as needed.
- Perform other duties of a similar or related level as necessary or assigned
- Provide the necessary support for the timely completion of TDT/ASP/LE financial plans. Assist with financial reporting and analysis. Execute prompt PR/PO/invoicing according to PPO policies and procedures for IT assets and services.
- Responsible for administering IT assets in the Market. Specific tasks include maintaining an up-to-date IT inventory, and timely software license renewal and hardware replacement/procurement, in line with the established refresh cycle (including workplace and collaboration tools).

Job Requirements

- University Degree in Information Technology or related discipline
- At least 2 years overall experience in administrative experience, preferably IT procurement, supplier management and technical documentation within FMCG industry
- English proficiency (oral and written)
- Office Administration procedures & inventory control
- Book keeping fundamental & practices.
- FMCG commercial processes
- Good working knowledge of:
- Microsoft Windows® operating system, Microsoft Office® and other client applications
- Relevant knowledge on computer hardware & software applications
- Modern office processes & procedures
- IT procurement processes & procedures
