Provide full professional, secretarial and administrative support including:Management of the different Heads of Schools diaries and assist with calendar appointments and planningCoordinate events planning, organise meeting venues, business dinner/lunch and or booking of flights and hotels as requiredComposing and managing internal and external correspondences, memos and communications from Head of School’ officeCollating relevant documents to support academic and pastoral meetings including notes, actions, reports etc. Undertaking word processing duties including compiling documents, inputting data and typing statistical reports using Microsoft office and/or Google.Organising, attending and taking minutes at the meetingsTaking telephone enquiries and filtering messages prior to forwarding to the relevant staffEnsure that the Heads of School are kept informed and briefed at all times regarding all School operational matters and parent or student issuesWork closely with the School leadership team to facilitate the School values and visionMaintain manual and computerised files: filing correspondence, records, reports and other documentation to relevant filing systems, in order to ensure effective information storage and retrieval arrangementsCarry out any other duties as requested by the Heads of SchoolsTo assist with the organisation of public and internal examinations including individual timetables for students, hall / room and invigilation requirements.To help liaise with examination boards and relevant staff in relation to internal assessments, examination timetable clashes and special requirements for SEN studentsTo help liaise with and follow up with Key Curriculum Leaders and relevant staff to ensure coursework, examination entries and other requests / changes are submitted within set deadlinesTo help organise the set-up of exam venues as per examination board requirementsTo help coordinate the posting of coursework and examination papersTo help coordinate access arrangements with SEN Administrator for all internal and external examsTo help coordinate exam certificates and arrange for them to reach students either in person or by postingTo help maintain and update information held on school database systems relating to assessment and examinationsTo assist teachers in relation to examination entries, internal assessments and assessment data requirementsTo input examination entries and results into school database systems as requiredTo be available in the days preceding and after publication of results in order to help process and issue examination results to staff and students as per examination board requirements and school policies and proceduresTo ensure that data protection regulations are complied with and maintainedTo liaise with the Finance Office on the payment of examination fees according to the school’s charging policyTo liaise with Site Staff to ensure that halls and rooms are available, and desks and chairs set out as required
