An Exciting Opportunity for ...

We are assisting one of our clients to look for dynamic and versatile person who is interested and passionate about providing a high level of secretarial and administrative services to the Managing Director to join as PERSONAL ASSISTANT.

The person will report directly to the Managing Director (MD) and the role will be a mixture of Personal Assistant, Secretarial and General Administrative activities including oversee the smooth operation of the office.

Responsibilities:
• Plan, arrange and manage the heavy schedule of meetings and appointments of the MD including booking of meeting venues, circulating of meeting invitations, agenda and meeting documents/materials, and taking of minutes of meeting.
• Manage his emails, draft business letters, prepare reports, presentations and other confidential documents.
• Plan and manage his travel itineraries, as well as air-ticket and hotel arrangements.
• Assist to co-ordinate correspondence, appointments with and submission of documents to various government authorities.
• Handle of contract documents, drawings and maintain a good filing system.
• Answer and screen calls and enquiries, and attend to visitors.
• Take charge of general administration such as office equipment, supplies and dispatch of documents and mails.
• Any other ad-hoc projects or administrative work as assigned by the MD.

Job Requirements

• A degree or diploma in Business Administration/General Management or any relevant qualification.
• Must have at least 2 years of secretarial experience to a senior manager and preferably in a start-up organisation.
• Excellent interpersonal and communication skills. Must have the ability to speak and write English language due to the need to communicate with MD and foreign associates.
• Strong computer literacy such as MS Words, Excel and PowerPoint.
• Must be extremely detailed-oriented with good organisation skill
• Able to work under pressure and tight deadlines in a fast-paced environment while maintaining multiple projects/assignments.
• Possess initiative and high energy or drive as well as able to work independently.
