OVERALL RESPONSIBILITIES 
The Admin Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. Oversee and supervise day-to-day operation of the administrative department and staff members. The Admin Manager reports to Management and is responsible for providing office management services. Perform other relevant duties that may be assigned by Management from time to time.

 Maintain office services

  • Design and implement Admin Department Policies.
  •  Establish standards and procedures of the Admin Department.
  • Organize office operations and procedures.
  • Monitor inventory of office supplies and the purchasing of new materials.
  • Review and approve supply requisitions.
  • Update organizational memberships.
  • Maintain office equipment, pay bills, switchboards and generator.
  • Developing and enforcing administrative budgets, delegating tasks and tracking progress on projects, and planning.
  • Fulfills administrative requirements on documentation and payment of bills, among others, on utilities, travels, housing and office supplies.
  • Manage and control for new & renewal of suppliers, and branch office rental contracts as per SOP.

Supervising Admin Team

  • Assign and monitor for administrative team members.
  • Recruit and select admin team members.
  • Manage and evaluate staff performance, coaching, and disciplining staff; review and recommend improving administrative policies, systems and procedures.

Maintain office efficiency

  • Plan and implement office systems, layout, and equipment procurement.
  • Maintain and replenish office properties and assets.
  • Check stock to determine inventory levels.
  • Anticipate needed supplies and verify receipt of supply.
  • Monitor and paid for all payment regular bills. 
  • Checking monthly stationary ordering lists correct or not and other admin expenses.
  • Managing daily inspection of office buildings for cleanliness and securities.

Manage to Maintain and Control Office Building and Vehicles

  • Maintain office building, water, electrical lighting, and air conditions.
  • Supervise the external security service team.
  • Manage office vehicles and used fuel. 
  • Supervise to manage all vehicle related inspection, audit function and maintenance issues efficiently.

Perform other related duties as required.

  • Liaison with business concern government office departments. 
  • Managing relevant admin databases and others related documents, ensure they are up to date and accurate and initiate corrective actions if necessary.
  • Monitoring responsible for collecting and preparing documents for internal and auditing.
  • Manage and discuss business legal affairs. 
  • Other HOC duties as per management instructions and new project support.
  • Handle matters & concerns on Security, HSE measures, management of building, vehicles, housekeeping, and landscaping at the company premises.
  • Ensure standard of manage are optimized in compliance with specified SOPs
  • Ensure all reports and urgent requirements are done in timely manner
  • Follow company’s rules & regulations

Job Requirements

  • Any Bachelor Degree. (Master of Bachelor degree in Business Administration is more preferred.)
  • At least 5 years experiences as Admin Manager.
  • Good leadership and motivational ability to motivate the staff for better performance.
  • Matured, Time management skills, organizational skills, Strong negotiation skill
  • Decision-making, and problem-solving ability.
  • Must be computer literate, especially in MS Office, Excel, Word, and PowerPoint.
  • Filing management and common document writing.
  • Good interpersonal, strong problems solving skills, good policy review, and knowledge of updated laws & regulations. 
  • Must be able to travel if needed.
