B. ROLES & RESPONSIBILITIES

The Event Coordinator is primarily responsible for the planning and successful completion of school events such as (but not limited to) class trips, calendar events, experiential learning trips, parent sessions, students sessions, etc. The event coordinator is expected to work with the operational and academic teams in creating and delivering a quality learning experience to each student, consistent with the unique culture, values, and standards of the school. The event coordinator will work closely with Marketing and Admissions Manager, Business Manager, Learning Leaders and Director in planning and managing school calendar and other events.

KEY RESPONSIBILITIES
To assist the operational and academic teams in all activities related to school promotion and the delivery of the curriculum. This is the most important task for Thalun International School and it covers all necessary jobs to successfully accomplish the task.


Plan School Events
Plan school events together with the Admission and Marketing Manager such as school related activities, fairs, field trips and parent/teacher events. (To assess when to hold the event and work with the Business Manager to determine suitable finances and prepare a budget. Making arrangements, such as booking materials or extra staff, ordering supplies and creating an itinerary is included in this process.)
Inform the faculty of the events and listen to feedback and ideas and incorporate them into the event if useful.

Academic Admin tasks
Assist the Admissions and Marketing Manager in taking inquiries and promoting the school and its activities.
Participate in professional development, operational and marketing meetings and events and other meetings as requested.


Resource Management (when needed)
Assist the Director/Learning Leader(s) in identifying resource needs.
Establish an inventory of resources to support event management and planning.


Communication
Assisting Director in the following areas:
To ensure effective communication and collaboration among all staff members.
To arrange parent information sessions (in collaboration with the Admissions and Marketing Manager.)


Bus Coordination
To supervise bus routes and drivers.
To monitor and assign the daily schedule of transport of school operation.
To maintain the stability of school transport schedule.
To work with students and parents in the sign-up process.

Health & Safety
Assist the principal to ensure that external trainers/teachers/coaches/vendors are familiar with
school policy and procedures.
Inform all outside parties of Child Protection/Safeguarding and Health requirements.

Others
Apart from the above mentioned tasks, the event coordinator may need to assist the
Thalun's leadership team in the development of the next phases i.e. site search, gathering sources, working with government offices, etc.


D. PERFORMANCE EVALUATION
Performance will be evaluated by the School Management based on the above job description and in accordance with provisions in the School’s policy and the implementing regulations for that policy.
