Job Description

• Oversee all import and re-export activities and operations effectively
• Supervise and distribute procurement and import duties and tasks to Procurement & Import Department members
• Liaise effectively between suppliers, manufacturers, relevant internal departments and regulatory bodies regarding import and re-export activities
• Build and maintain good relationships with new and existing suppliers
• Communicate with suppliers effectively in a timely manner
• Implement and execute necessary checks and record-keeping procedures for the organization’s import and re-export activities
• Prepare required samples and documents to apply for FDA Import Recommendation registration
• Check and monitor pro-forma invoices or sales contracts from suppliers
• Confirm purchase orders, per-forma invoices and sales contracts
• Handover relevant documents to Accounting Department
• Place purchase orders to suppliers and monitor quality of products and services provided
• Manage necessary documents for advance payments to suppliers and handover to Accounting Department
• Communicate with shipping agents effectively and book shipping space and apply for shipping insurance
• Review and monitor shipping documents to ensure compliance with Customs Department’s rules and regulations
• Ensure work completion within required time-frame (shipment schedule) and resolve any transaction issues
• Manage necessary documents for all import and re-export activities
• Liaise with Customs Department’s agents and outsource to approved external logistics providers for clearance, material transportation if necessary
• Maintain and share with colleagues as appropriate, personal knowledge of all relevant import and export regulations and procedures, tariffs and duties, licenses and restrictions
• Develop strategies to ensure that cost savings and supplier performance targets are met or exceeded
• Prepare required documents for telegraphic transfers (TT) and letters of credit (LC) and collect bank bills
• Monitor warehouse inventory movement
• File and manage transportation damage claims
• Develop a purchasing strategy
• Forecast price trends and their impact on future activities
• Communicate and cooperate effectively with relevant departments in the organization
• Perform other related duties and required of the Procurement & Import Department
• Follow instructions from and report to General Managers, the Board of Directors and Chairman

Job Requirements

• At least 3 years’ experience in related field
• Certificate or diploma holder in Supply Chain
• Full knowledge of import government law
• Strong communications and negotiation skills, both written and verbal
• Proficient computer skills, including Microsoft Office Suite and Gmail
• Treat everyone with respect
• Intermediate level in English
• Can work collaboratively in teams
• Ability to effectively solve problems and make decisions
