Summary of Responsibility Scope:
A project coordinator is mainly responsible for offering managerial and administrative support to integrate a variety of functions in relation to proper site management and report site progress,
preparing financial requirement on site expenditures, assisting in document control process of site warehouse operation, reporting material usages and tools & equipment usage and maintenance condition, ascertaining the distribution and management of project related documents with other related functions within the organization.
Primary Job Descriptions
(1) Provides administrative and operational support to Senior Project Coordinator, Assistant Project Manager or Site Manager of project(s), including sub-contractor management, worksite regulations and reporting etc
(2) Assist Senior Project Coordinator, Assistant Project Manager, Site Manager or Project Manager to prepare regular written reports, summaries of issues and action plans to senior department leader and Management as requested
(3) Support Senior Project Coordinator to establish and maintain work plans and schedules to ensure timely completion of deliverables, milestones and final delivery
(4) Attend project meetings with clients in relation to execution schedules and billing schedules as well as approval schedules of design and specifications, and problems reporting. All meetings with client should be recorded in written forms and a summary to be reported back to departmental seniors and managements
(5) Assist Senior Project Coordinator, Assistant Project Manager, Site Manager and/or Project Manager to manage Site Warehouse operation with adequate staff for accuracy of inventory and Tools controls and ensure operation is properly as per Warehouse Manual of the Company. Coordinate with Inventory & Asset Department for accuracy of information inside Warehouse Management System
(6) Assist Senior Project Coordinator, Assistant Project Manager, Site Manager and/or Project Manager to manage Site maintenance teams and coordinate with Maintenance Department for proper calibration of tools and equipment, proper function of tools and equipment to avoid down time and accidents caused by faulty tools and equipment
(7) Help Senior Project Coordinator to maintain sets of approved drawings and distribution of drawings in controlled manner
(8) Assist Senior Project Coordinator, Assistant Project Manager, Site Manager and/or Project Manager to manage Site Administrative matters in terms of project staff welfare, discipline, health & safety issues, document and record keeping etc
(9) Prepare draft work by work budgets for Senior Project Coordinator/Assistant Project Manager/Site Manager/ Project Manager for approval by management and submission to Finance Committee every two weeks
(10) Support Senor Project Coordinator/ Assistant Project Manager/Site Manager/ Project Manager to establish and maintain work plans and schedules to ensure timely completion of deliverables, milestones and final delivery
