Job Function:    

Executive Assistant provides high-level administrative support to Executive Director, managing schedules, travel, and communications while maintaining confidentiality and ensuring smooth coordination with internal and external stakeholders.

Key Responsibilities:

  • Manage Executive Director’s calendar, appointments, meetings, and travel arrangements to ensure efficient use of time and resources, while prioritizing conflicting demands.
  • Screen and prioritize incoming calls, emails, and other correspondence, responding on behalf of Executive Director.
  • Organize documents, prepare and present reports, presentations for executive meetings, board meetings, and external stakeholders.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Act as a liaison between executives and internal/external stakeholders, representing the company's interests and maintaining relationships with key partners, and managing communications effectively and professionally.
  • Conduct research and compile information as needed for various projects and initiatives.
  • Lead special projects assigned by Executive Director, coordinating with cross-functional teams to ensure timely completion.
  • Identify and implement process improvements and operational efficiencies to drive organizational effectiveness.
  • Support administrative tasks such as expense claims, payment vouchers, and document submissions.
  • Responsible for office maintenance, renovation, and facility-related arrangements.
  • Organize monthly office gatherings, events, and celebrations.
  • Provide administrative and logistical support for training sessions, company activities, and corporate events.
  • Coordinate and manage domestic and international travel arrangements, including flights, car tickets, and accommodations for Directors and Director’s relations and friends, ensuring seamless travel experiences.
  • Handle Myanmar visa extensions, Form C submissions, and other related documentation for expatriate staff.
  • Responsible for supplies and cleaning arrangements for the Director’s accommodation.
  • Responsible for arranging festival gifts and providing support to personal and business partners.
  • Assist with both professional and personal projects as assigned by Executive Director.
  • Support personal tasks as needed, including shopping, meal planning, and household management.
