Duties and Responsibilities related with Human Resource Determine the MFI’s current and future staffing needs. Duties and Responsibilities related with Administration Ensuring of well-organized and storage of stationery supplies, equipment and other documents such as policies, office rental agreement, letter in, letter out etc. Taking control and arrange office spaces to locate staffs of each function and for meeting, training or conference etc. Responsible for effective distributing or delivering all kind of internal and external documents to the target receivers in head office as well as to branch offices. Ensure the effectiveness of office reception functions. Oversee the process of office rental, decoration, and renovation to assure the standardize branding of all MFI’s offices and security. Oversee the procuring process such as quotation, negotiation, supplier selection of service agreement with assuring quality and timing. Responsible for logistic tasks such as administration of vehicle, transportation, document delivery, accommodation etc. Plan for long and short-termed maintenance needs. Modernize and update equipment. Perform other tasks as requires by manager.
Head office audit: Plan to carry out and report on compliance on audit to verify that all financial documents and cash transactions and procurement have been done in conform to the policy of VTM. Branch Audit: Plan, carry out, and report on compliance audit to verify that all financial transactions, cash transactions, and administrative are done in conform to the VTM’s policy. Field Level: Plan carry out and reports on the management of the field staff level including satisfaction of clients with VTM, marketing, reputation, and image of VTM. To plan, carry out, and report on administration to ensure optimal working conditions in all operation departments and at the branch office level. To contribute to the development of VTM as a whole to maintain VTM in a leading position in the microfinance sector for the long run.
