Follow up on documents, reports, and tasks assigned by the BOD. Take Minutes of Meetings and follow up on the implementation of decisions made during meetings. Conduct necessary inquiries, prepare documents, and act as a liaison for the MD’s ongoing projects, business matters, and requirements related to government offices, including internal and external communications. Handle and maintain important documents and confidential information systematically, and ensure proper filing of documents. Maintain strict confidentiality of the BOD’s personal and business-related information. Handle necessary documentation and administrative tasks. Perform other duties and responsibilities assigned by Management.
Oversee daily office operations and ensure a clean, organized, safe, and well-maintained workplace. Lead the Admin team, control administrative budgets, and ensure efficient and cost-effective operations. Manage company assets, office equipment, inventory, and supplies. Supervise regular maintenance and ensure timely repairs of office facilities and equipment. Source and purchase office supplies, furniture, and equipment within the approved budget. Negotiate and manage contracts with vendors and service providers, including security, cleaning, internet, and building management. Oversee company vehicles, drivers, fuel tracking, maintenance, and transportation logistics. Monitor vehicle maintenance, servicing, repairs, fuel consumption, mileage, and related costs. Maintain accurate records and prepare regular reports on fleet performance, utilization, and expenses. Coordinate with relevant government authorities and external organizations regarding licenses, permits, and insurance renewals. Oversee day-to-day administrative operations, including facilities, office supplies, assets, utilities, and vendors.
