1. Job Summary

To provide administrative support to ensure smooth daily operations of the office. This role assists with document management, scheduling, communication, accommodation, visa, logistic and the related of admin office tasks.

 

2. Key Responsibilities
1. Office Support:
o Maintain office records, files, and documentation.
o Assist in preparing reports, documents, and correspondence.
o Manage office supplies and inventory; raise requisitions when needed.
2. Communication:
o Attend phone calls, emails, and general inquiries from teachers and internal colleagues.
o Welcome new teachers and coordinate appointments.
3. Assist & Coordination:
o Assist in scheduling meetings, events, and appointments.
o Coordinate with internal teams and external stakeholders as needed.
o Assist in discussion with teachers’ accommodation process, visa process and daily logistic reporting process and so on.
4. Data Entry, Handling Documentation and Monitoring:
o Update databases and maintain accurate records for required admin documentation, stocks controlling and others reporting.
o Ensure proper filing and archiving of documents.
5. Other Duties:
o Support the admin team in ad-hoc tasks as required.
o Assist in organizing office events or staff activities.

• Minimum high school diploma; a degree in Business Administration or related field preferred.
• Basic knowledge of MS Office (Word, Excel, Outlook).
• Good organizational and time-management skills.
• Effective verbal and written communication skills in English.
• Strong collaboration, Self-control, team-oriented, and capable of working under pressure.
• Ability to work as part of a team and independently when needed.
