Coordinate and administer internal and external training programs. Conduct Training Needs Analysis (TNA) in collaboration with department managers. Develop annual training calendars and monitor training implementation. Track employee learning progress and maintain training records. Support leadership development, employee engagement, and succession planning initiatives. Prepare weekly, monthly, and quarterly HR reports and dashboards. Analyze HR metrics including headcount, turnover, absenteeism, recruitment status, and training effectiveness. Generate insights and recommendations based on HR data to support management decisionmaking. Develop and improve HR reporting templates and tracking systems. Prepare professional presentations for management meetings, business reviews, and HR initiatives. Compile and present HRrelated data, trends, and workforce analytics. Support management with reports, proposals, and strategic HR presentations. Create visually appealing reports using PowerPoint, Excel, and other reporting tools. Support recruitment, onboarding, and employee documentation processes. Ensure compliance with company policies and HR procedures.
Monitor and manage the day-to-day operations of the Administration Department. Ensure the office is adequately stocked with necessary supplies and that all office equipment is functioning properly and well-maintained. Review, verify, and approve administrative payments for the head office and branch offices. Supervise and control inventory management of stationery, packing materials, and fixed assets. Develop, implement, and communicate company policies, procedures, and disciplinary guidelines as required. Coordinate and carry out administrative assignments directed by the Board of Directors (BOD). Supervise housekeeping staff and ensure workplace cleanliness and maintenance standards are met. Manage procurement activities, including preparing and processing purchase orders. Resolve supply, quality, service, and invoice-related issues with suppliers and vendors. Ensure compliance with company policies, ISO standards, HACCP requirements, and HSE regulations. Develop and maintain Standard Operating Procedures (SOPs) to improve administrative efficiency.
Maintain and update the Fixed Asset Register, including asset transfers and write-off transactions. Prepare and record depreciation, fixed asset, and adjustment journal entries. Reconcile monthly material usage reports with General Ledger records. Review and maintain project, renovation, land, and other current asset records. Verify petty cash replenishment requests and coordinate with relevant departments. Prepare daily cash position reports and monthly budget reports. Assist in the preparation of monthly, quarterly, and annual financial statements. Perform account reconciliations and support month-end closing activities. Carry out other accounting duties assigned by the Accounting Manager.
Supervise and manage the overall operations of the Accounting Department to ensure accuracy and timely completion of financial activities. Assign duties to accounting staff, provide guidance, establish accounting procedures, and implement reporting formats and guidelines. Review and verify accounting records prepared by Account Executives and ensure the accuracy of financial reports. Prepare and present financial reports to Management and BODs (Board of Directors) for discussion and decision-making. Authorize and verify daily cash transactions, including Cash In/Out and Bank In/Out records. Monitor departmental expenses and compare actual spending with budget forecasts. Prepare and maintain Japan-related Cash In/Out Statements and related financial records. Submit consolidated branch income and bank reports to BODs on the 1st day of every month. Prepare Profit & Loss Statements and Balance Sheet Reports accurately and on time. Ensure compliance with accounting standards, company policies, and financial procedures. Support financial planning, budgeting, and internal control processes
