ROLE PURPOSE

The Executive Assistant – CEO Office delivers strategic and high-level administrative support to the Chief Executive Officer (CEO), playing a pivotal role in managing executive communications, coordinating complex schedules, overseeing office administration, and ensuring the efficient and confidential operation of the CEO Office. The incumbent serves as the primary liaison for the CEO Office, representing the CEO professionally and proactively in all internal and external stakeholder engagements. The individual must be highly organized, resourceful, and able to anticipate needs in a fast-paced, dynamic environment under sound judgement and discretion to ensure seamless day-to-day executive operations of the CEO Office.

The incumbent is responsible for proactively supporting the CEO in tracking key initiatives, monitoring the execution of high-priority tasks, and contributing to strategic projects and special assignments as needed. The role includes attending high-level meetings alongside the CEO, taking accurate and detailed meeting minutes, noting key decisions, and following up on action items to ensure timely completion. Occasional travel, both domestic and international, may be required based on the CEO’s schedule and organizational priorities.

 

JOB RESPONSIBILITIES

  • Executive Support and Calendar Management: Manage the CEO’s calendar, schedule internal and external meetings, coordinate travel and logistics, and handle office-related budgets, payments, and claims related to CEO Office.
  • Communication and Document Management: Draft, edit, and proofread high-quality correspondence, reports, speeches, presentations, and regulatory documents; prepare and organize materials for executive meetings while ensuring accuracy, professionalism, and confidentiality.
  • Stakeholder and Relationship Management: Serve as the primary liaison between the CEO and internal/external stakeholders including board members, regulators, and senior leadership; represent the CEO professionally in all engagements and manage internal/ external relationships proactively.
  • Meeting Coordination and Follow-Through: Plan and coordinate executive meetings from agenda setting to venue preparation; attend high-level meetings alongside the CEO, take minutes, monitor completion of follow-ups, and track action items and deadlines to ensure timely execution and accountability. Occasional travel, both domestic and international, may be required based on the CEO’s schedule and organizational priorities.
  • Strategic Support and Special Projects: Support the CEO in tracking key priorities, monitoring projects, briefing preparation, and managing confidential information; contribute to strategic initiatives and special projects as assigned, ensuring alignment with the CEO’s vision and objectives.
  • Corporate Representation and Seasonal Engagements: Manage corporate memberships with chambers of commerce and professional institutions; coordinate planning and distribution of seasonal VIP gift sets to financial institutions and partners on behalf of the CEO Office.

Education

  • Essential: Bachelor’s degree in business administration, finance, communications, or a related discipline.
  • Desirable: Additional certifications in executive management, board/ company secretary, or related fields.

Experience

Essential:

  • Minimum of 3-5 years’ experience as an Executive Assistant/ Executive Secretary supporting senior leadership, preferably within banking, financial services, or other highly regulated industries.
  • Demonstrated strong knowledge of the banking sector and corporate governance frameworks.
  • Proven ability to manage multiple competing priorities and perform effectively under pressure.

Desirable:

  • Previous experience working directly within a CEO’s office or executive leadership team.
  • Experience in a highly regulated environment such as banking or finance is highly preferred.

Knowledge & Skills

Essential:

  • Exceptional written and verbal communication skills, with the ability to draft professional correspondence, reports, and presentations independently.
  • Strong interpersonal and diplomatic skills and professionalism in representing the CEO internally and externally to establish and maintain trusted relationships with board members, executives, clients, regulators, and internal teams.
  • Proven ability to handle confidential and sensitive information with the utmost discretion and integrity.
  • Excellent organizational skills with outstanding time management and the capacity to prioritize complex tasks and manage demanding schedules.
  • High attention to detail, ensuring accuracy in document preparation, task tracking, and reporting processes.
  • Ability to thrive in fast-paced, high-pressure environments.

Desirable:

  • Proficiency in virtual meeting platforms such as Zoom and Microsoft Teams.
  • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Languages

Essential: Excellent verbal and written communication skills in both English and Myanmar.
