Key Duties & Responsibilities
1. School Accounting & Financial Operations
• Maintain accurate accounting records for school operations (tuition fees, operational expenses).
• Record daily financial transactions in the accounting system.
• Check and maintain general ledger, accounts receivable, and accounts payable.
• Check bank, cash, and petty cash reconciliations.
2. Budgeting & Cost Control
• Assist in preparing annual school budgets.
• Monitor departmental budgets and expenditures.
• Prepare budget vs. actual reports and explain variances.
• Support cost control and efficient use of school resources.
3. Financial Reporting & Audit
• Prepare monthly and annual financial reports for management.
• Assist with internal and external audits.
• Maintain proper documentation and filing systems for audit and compliance.
• Support reporting requirements for school boards, donors, or partner institutions.
4. Compliance & Taxation
• Ensure compliance with local tax laws, education authority requirements, and internal policies.
• Prepare and submit tax returns and statutory reports on time.
• Maintain accurate records for inspections and regulatory reviews.
5. Procurement & Vendor Management
• Process purchase requests, purchase orders, and supplier invoices.
• Ensure payments are properly authorized and supported.
• Maintain vendor records and contracts.
6. Fixed Assets & Inventory
• Check fixed asset register (classroom equipment, IT assets, furniture).
• Track asset movement and depreciation.
• Support inventory control for teaching and learning materials.
7. Internal Controls & School Policies
• Ensure adherence to financial policies and procedures.
• Support development and improvement of finance-related SOPs.
• Promote transparency, accountability, and ethical financial practices.
8. Coordination & Support
• Work closely with other team members and departments.
• Liaise with banks, auditors, tax authorities, and external partners.
