Manage complex calendars, priorities, communications, scheduling meetings, appointments, and conference calls efficiently and ensuring efficient use of time and resources, while prioritizing conflicting demands. Screen and prioritize incoming calls, emails, and other correspondence, responding on behalf of the employer when necessary. Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries, ensuring seamless travel experiences. Organize documents, prepare and present reports, presentations for executive meetings, board meetings, and external stakeholders. Organizing and maintaining records of major company activities and transactions. Perform administrative work associated with different departments & specific projects as assigned. Ensuring that an inventory of office supplies and place orders as needed, such as all office supplies are ordered in a timely fashion to avoid running out of supplies. Taking care of office logistics such as organizing meetings, coordinating calendars and handling travel arrangements. Dealing with the administration of all properties including lease, car, insurance, etc. and ensure that contract renewals, terminations, amendment. Handling government-related documentation such as passport, visas, travel authorizations, FRC and Form C, following up with the concerned ministry, embassy and department. Managing DICA Accounts; Completion of notarial certificate and stamp duty. Create branded advertising campaigns and support the marketing and design teams by coordinating and collating content. Responsible for the successful planning and coordination of all marketing and outreach initiatives, including local house campaigns as well as service and events. Overseeing various tasks and ensuring the smooth operation of the office. Managing relationships with vendors, negotiating contracts, ensuring the smooth delivery of services provided by external parties.
Develop and implement costing strategies , Monitor and manage stock levels, Conduct regular inventory reconciliations. Analyze cost variances and report on cost control. Reconcile accounts, post journal entries, and maintain a complete and accurate general ledger in accordance with accounting principles and reporting schedules. Keep control of such legal books and records of accounts as: General Ledger, Sales Records, Purchases Records, Inventory. Coordinate independent audits and prepare necessary schedules and Work closely with auditors for annual audits. Schedule monthly tax payments and manage tax-related matters. Prepare of the monthly and annual financial reports and assist in developing annual budget. Assist procurement processes and Perform any other duties as assigned by Finance Manager.
