The Office Admin Staff is responsible for supporting the day-to-day operations of the office, ensuring efficiency and a smooth workflow. This role involves a mix of administrative, clerical, and customer service tasks, including managing office supplies, handling communication, scheduling meetings, and assisting with general office management. Administrative Support: Perform general administrative duties such as filing, photocopying, faxing, and scanning documents. Organize and maintain office files, records, and databases. Handle incoming and outgoing correspondence, including emails, phone calls, and mail. Assist in the preparation of reports, presentations, and other documents as needed. Office Operations: Manage office supplies and inventory, ensuring adequate stock levels and placing orders as necessary. Coordinate maintenance of office equipment, including arranging repairs or servicing. Oversee office cleanliness and organization, ensuring a productive and welcoming environment. Manage office space and assist with seating arrangements and layout changes. Scheduling & Coordination: Schedule and organize meetings, appointments, and conference calls for team members. Coordinate travel arrangements for staff, including booking flights, accommodations, and transportation. Prepare meeting rooms and materials, ensuring all necessary resources are available. Customer Service: Greet and assist visitors, clients, and vendors in a professional and friendly manner. Handle incoming phone calls, redirecting inquiries to appropriate staff as needed. Address employee and client inquiries, providing timely and accurate information. Human Resources Support (optional): Assist with onboarding new employees, including preparing documentation and setting up workstations. Help manage time-off requests and employee records. Assist with payroll processing or other HR administrative tasks, depending on the company’s needs. Project Assistance (optional): Support various team projects, coordinating logistics and providing assistance as needed.
