1. Job Summary The Admin Supervisor oversees the daily administrative operations of the school, ensuring efficient support services that facilitate a conducive learning environment. This role involves managing administrative staff, managing text book ordering process, supporting government organization’s needs, visa process with accommodation arrangement, transportation arrangement, coordinating with various departments, and liaising with external stakeholders to uphold the school’s standards and policies. 2. Key Responsibilities 2.1 Administrative Operations Supervise day‑to‑day operations of the administrative department and staff members. Monitor inventory of office supplies and manage procurement within budgetary constraints. Plan, schedule, and support school events, including meetings and training sessions and accommodation. Facilitate on special activities such as off‑campus field trips, other school events, and graduation ceremonies. (Flight, hotel and others etc.) Attend meeting as needs from government office and support to government agencies as needed for activities related to school operations. Take responsibility for visa applications, extensions, renewals, Form C submissions, work permits, stay permits, and other immigration-related documentation and processes for eligible staff, students, and visitors. Ensure all visa, Form C, work permit, and immigration-related documents are properly prepared, submitted, renewed, and maintained within the required deadlines. Maintain accurate records and tracking of visa, Form C, work permit, and other government-related documentation to ensure compliance with applicable regulations. Oversee the quality control of textbook inventory and management of uniform stock. Take responsibility and be accountable for securing affordable and cost-effective prices for flights, hotels, textbooks, transportation, and other related expenses. 2.2 Staff and administrative support management Assign and oversee duties of support staff (office ferry way, resource room/ ferry cleaning) and, ensuring safety, hygiene, and health standards are met. Develop and implement schedules for accommodation and set cleaning standards for admin staff. Coordinate with external vendors—such as ferry rentals, accommodation providers, suppliers, and renovation contractors—and manage all related service agreements and contracts. Handle subordinates with effectively and efficiency 2.3 Communication & Coordination Work closely with the operation Manager and head teacher to ensure smooth daily operations. Communicate effectively with internal team, teachers, parents, addressing inquiries and concerns promptly. Collaborate with academic teams to support student documentation and school activities. Negotiate with apartment owners to secure the best rental rates and provide dedicated support for teachers’ accommodation. 2.4 Compliance & Reporting Ensure the school complies with all relevant laws and regulations. Maintain accurate records of utility usage and oversee the upkeep of equipment and supplies to meet health and safety standards. Prepare and present reports on administrative activities to operation manager as required on time.
Understanding of chemical testing Checking the safety of all laboratory items. Manage laboratory activities and reports. Assist science teachers efficiently in the school lab. Recognize and follow basic laboratory safety precautions and equipment. Maintain an organized, clean, and tidy workspace, including all tools and equipment.
Be present in the classroom on time in the morning to welcome students to school and assist them as needed. Supervise students during support class time. This includes ensuring that they are occupied and supported, where necessary, with assigned schoolwork. Be present for registration at the end of the day and monitor student dismissal at exits on their assigned duty days. Build a relationship with each student to foster trust and transparency. Conduct Social & Emotional Learning activities based on the provided guidelines and materials. Keep students and parents informed on school announcements and general information they need to be aware of, including but not limited to creating and sharing subject weekly updates sent through Class Dojo/Google Classroom/ Communication Notebook. Make sure students have access to school agreements based on the five SIS Core Values. Maintain transparent and productive communication with parents, including but not limited to setting up and monitoring Class Dojo/Google Classroom/the Communication Notebook. Eat lunch with your students as necessary. Keep your classroom tidy and presentable with relevant displays. Communicate updates to parents regularly using ClassDojo/Google Classroom/Communication Notebooks. To ensure such as professional conduct, Lesson planning & implementation, student assessments, teaching duties/ pastoral care, professional development, school events & learning journeys.

Solve disputes between students, work alongside subject teachers in disputes, and complete indecent reports where needed. Monitor student dress codes and possessions to ensure students do not bring inappropriate content to school. Maintain transparent and productive communication with parents, including but not limited to setting up and monitoring Class Dojo/Google Classroom/the Communication Notebook. Conduct Parent Teacher Conferences at the end of each term. Eat lunch with your students as necessary. Keep your classroom tidy and presentable with relevant displays. Communicate updates to parents regularly using ClassDojo/Google Classroom/Communication Notebooks.
