Main Responsibilities and Tasks:

  • Purchasing spare parts and supplies for the ships.
  • Logistic of the parts.
  • Secretarial duties associated with the Technical Superintendents’ responsibilities.
  • Forwarding and expediting of ships spare parts.
  • Execute Purchasing Procedure.
  • Receive requisitions from the ship.
  • Request quotes from suppliers, following purchase procedure.
  • When ready pass to Technical Superintendent for approval and quantity sanction.
  • Enter account code given by authorizer and enter code and PO number in the Savvy Mariner.
  • Confirm order with supplier and inform them of place and date of delivery required. Keep agent informed of delivery at ports other than Singapore.
  • Follow up and track items until delivered on board.
  • Keep ship updated on status of all spare parts requests and delivery.
  • Carry out Invoice Handling Procedure.
  • Check for discrepancies against quotation and delivery order.

Surveys and Certificates

  • Update periodically the status of the surveys and certificates for all ships.
  • Assist in keeping track of any survey due and advise Superintendent.
  • Maintain survey status record on computer spreadsheets.

Entering of Monthly Expenditure

  • Expenditure by ship is to be keyed into the computer daily. Include account codes, PO number, Vendor, Invoice, and status.

Job Requirements

Minimum Competence, Knowledge, and Experience

  • Any Graduate/ Bachelor Degree in Marine Engineering/ Diploma & Certificate in in logistics and supply chain management
  • At least 1-year experience with a shipping/logistics company as a Purchaser or Technical Assistant
  • Good working knowledge of MS Word, Excel, Power Point
  • Good English Communication skills.
