Position Summary

To provide logistics and administrative support to all projects and head office for smoothly running. Building strong relationships with INGO/UN agencies, other Local Organizations and Government’s department for resources providing and sharing. Handling all the necessary preparation and arrangement for all staff travel.

Essential Functions and Responsibilities

• Management and responsible for smoothly running of financial system, logistics and administrative functions.
• Manage to achieve the organization objectives and goal effectively and effectively by Admin Department.
• Collaboration with the all project offices to ensure that they are running with proper finance process, logistic matters and administration at any time.
• Make annual budget and expense plan based on information from IHQ.
• Suggest and revise to develop forms, guidelines to be effective, efficient, and useful in practice and harmony with GNI value, culture and nature.
• Closely collaboration with the all project offices to ensure that they are running with proper finance process, logistic matters and administration at any time.
• Handle HR related issue within operation department and SSD department
• Input or suggest to HR committee regard to HR issue of the GNI Myanmar if require.
• Strengthen and maintain good relationship with related ministries and departments and partner INGOs.
• Liaison with various government offices or staff for necessary permissions, tax exemption, registration, appointment, approval and various NGO, UN and embassy counterparts to sustain a network of contacts.
Management on Admin Team
• Manage and guide for filing, mails handling, meeting, trip and appointment.
• Closely follow up to improve and develop the performance of Admin staff.
• Stand in leading role for event management and arrangement by Admin team.
• Supervise the preparation for trip plan, car rental , hotel booking, and airport transfer.
• Apply to visa application, travel permission and MOU application or extension.
Management on Logistic Team
• Supervise Admin and logistic officer concern with functions and activities (procurement, payment, transportation arrangements and office and vehicle maintenance.,)
• Manage for all rental process and payment and preparing the contract.
• Organize on GNI office and project asset list and responsible to check and update these entire records quarterly basis by logistic.
• Manage GNI’s properties for legally ownership by organization that relative with the government act.

Others
• Be supportive to CD in all legal and administrative obligations.
• Advise CD on the general administrative and financial management.
• Propose procedures, rule and regulations to improve internal control system.
• Implement the best communication among staff and department and to develop the information channel.
• Take overall finance responsibilities upon CD’s delegation.
• Perform any other duties when necessary and assigned by CD.
• Control all official letters out going and in coming of GNI Myanmar.
• Supervise systematically maintain on document filing and computer filing concerning of admin /logistics/finance.

Job Requirements

Requirement /Qualification

• Any Graduate preferably with the field of Finance and Administration
• At least 3 years experiences in administration with INGOs, financial management and logistical matters.
• Strong communication skills (Myanmar & English) –can persuade ,network and negotiate and clear ability in written communications.
• Computer proficiency, especially Microsoft package.
• Good personal organizational skills, including time management , and ability to meet deadlines and work under pressure
• Able to delegate and monitor the work of others and develop their skills, Able coach and encourage others.
• Possession of valid driving license is an advantage.
• Familiarity with government systems and procedures.
• Proven experience in auditing
• Flexible and willing to perform other tasks
• Demonstrated ability to understand and use basic accounting systems is preferable.
• Have a strong aspiration and interest in humanitarian and community development works.
• Experience in communication on development ,humanitarian and government policy issues.
• Ability to communicate in a diplomatic and assertive manner
