Administrative Support:

  • Provide extensive administrative support by composing and editing emails, memos, and
  • other correspondence on behalf of the executive.
  • Draft and prepare documents, reports, and presentations to ensure clarity, accuracy, and professionalism.
  • Maintain a high level of confidentiality in handling sensitive information.

Record Keeping:

  • Establish and maintain organized and up-to-date records, files, and databases.
  • Regularly review and update records to ensure accuracy and completeness.

Accounting Duties:

  • Perform minor accounting tasks, such as processing expense reports, tracking expenditures,and managing petty cash.
  • Coordinate with the finance department to ensure timely and accurate financial transactions.

Meeting Coordination:

  • Organize meetings, including scheduling, reserving meeting spaces, and coordinating necessary equipment.
  • Send invitations, agendas, and reminders to attendees.
  • Arrange catering services for meetings and events as required.

Communication Management:

  • Answer phone calls promptly and professionally, directing inquiries to the appropriate parties.
  • Manage and prioritize incoming correspondence, ensuring timely responses.
  • Act as a liaison between the executive and internal/external stakeholders.

Visitor Reception:

  • Welcome visitors with courtesy and professionalism.
  • Determine the purpose of their visit and direct them to the appropriate department or individual.
  • Ensure a positive and comfortable experience for all visitors.

Calendar Management:

  • Efficiently manage the executive’s calendar, scheduling appointments, meetings, and events.
  • Prioritize and coordinate the most critical and time-sensitive matters.
  • Proactively anticipate scheduling conflicts and propose solutions.

Travel Arrangements:

  • Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation.
  • Prepare travel itineraries and ensure all necessary arrangements are in place.

Task Prioritization:

  • Assist in prioritizing tasks and projects based on importance and deadlines.
  • Work closely with the executive to ensure timely completion of high-priority assignments.

Problem Resolution:

  • Handle day-to-day issues and inquiries, resolving problems efficiently and diplomatically.
  • Escalate matters to the executive's attention as needed.

Team Collaboration:

  • Collaborate effectively with other administrative staff to streamline processes and enhance overall office efficiency.
  • Provide support to other team members when necessary.

Secondary Responsibilities:

  • Any additional assigned tasks by Managing Director

  • Demonstrated ability to work effectively under pressure
  • Strong communication skills, both written and verbal( English and Native Language)

  • Strong working knowledge of Microsoft office platforms( Word,Excel,Powerpoint)
  • Ability to multitask and prioritize workload
  • Willing to travel long distances, visit branches & important people and organizations in other areas
