HR & Administration Duties

  • Review, verify, approve, and maintain proper records of HR and Administration departmental petty cash expenses.
  • Review and approve expense claims, reimbursement requests, supporting documents, and invoices to ensure accuracy and compliant with company policies.
  • Monitor and control administrative expenses to ensure cost efficiency and effective budget management.
  • Supervise the distribution, inventory, and control of stationery, office supplies, vehicle-related materials, equipment, and other company assets.
  • Maintain accurate records of company assets and ensure their proper utilization and safeguarding.
  • Review, monitor, and approve maintenance work for company sales vehicles after sales trips and field operations.
  • Coordinate preventive maintenance and servicing schedules for company vehicles to ensure they remain in good working condition and are available for operational use.
  • Manage the renewal and administration of company licenses, vehicle registrations, permits, and all legally required registrations and compliance documents.
  • Lead and supervise security personnels to maintain a safe, secure, and disciplined working environment.
  • Implement, monitor, and enforce workplace health, safety, and security policies and procedures.
  • Coordinate effective communication between management and employees to ensure smooth administrative operations.
  • Support senior management in administrative planning, operational improvement initiatives, and process enhancement projects.
  • Develop, maintain, and continuously improve administrative policies, procedures, documentation, and records management systems.
  • Develop and maintain the company’s organizational structure and staff positions based on operational needs and submit for approval by management.

  • Prepare and manage job descriptions and responsibilities for employees in coordination with department heads.

  • Manage the recruitment process, including reviewing manpower requests from departments and coordinating with job agencies.

  • Screen and shortlist candidates and submit qualified applicants to the management for final approval.

  • Handle employee matters such as probation, hiring, promotion, transfer, disciplinary action, and termination in accordance with company policies and labor laws.

  • Monitor employee performance and ensure employees follow company policies, rules, and procedures.

  • Recommend and implement employee benefits and welfare programs including leave and other employee support programs.

  • Manage benefits and compensation for employees.

  • Conduct performance evaluations and coordinate improvement plans with department heads and the management.

  • Plan and organize training and development programs to improve employee skills and performances.

  • Communicate and ensure employees understand the company’s Vision, Mission, policies, and procedures.

  • Support programs related to employee welfare, health, and workplace satisfaction.

  • Conduct probation reviews and exit interviews to gather feedback and improve HR practices.

  • Perform other Administrative or HR duties assigned by the Management.

    • Bachelor's degree in Business Administration, Management, Human Resources Management, or a related field. An MBA, Management Diploma, HR Diploma, or Human Resources Management Certificate is preferred.
    • Age between 35 and 45 years.
    • Minimum 5 years of relevant work experience in Human Resources and Administration.
    • Strong communication and interpersonal skills.
    • Excellent organizational, leadership, and people management abilities.
    • Able to lead, guide, coach, and support staff effectively.
    • Strong analytical and problem-solving skills with the ability to assess situations and provide constructive feedback.
    • Sound judgment and decision-making skills with a high level of integrity and professionalism.
    • Honest, hardworking, well-organized, and responsible.
    • Able to manage multiple tasks simultaneously and work effectively under pressure.
    • Strong teamwork and collaboration skills.
    • Proficient in Microsoft Office (Word, Excel, and PowerPoint).
    • Knowledge and experience in vehicle management, including overseeing company vehicles, maintenance schedules, registrations, insurance, and other related administrative matters.
    • Familiarity with Myanmar labor laws and HR best practices will be an advantage.
