Position Summary
The Project Coordinator is responsible for supporting the successful planning, coordination, execution, monitoring, and completion of construction and development projects. The role ensures effective communication among project stakeholders, maintains project documentation, tracks project progress, coordinates meetings, follows up on action items, and assists the Project Manager in delivering projects safely, on time, within budget, and according to quality standards.
Key Responsibilities

  • Project Planning & Coordination
  • Assist Project Manager in planning and organizing project activities.
  • Prepare project schedules and monitor progress against milestones.
  • Coordinate activities between internal departments and external stakeholders.
  • Ensure project activities follow approved timelines.
  • Track project deliverables and update project status regularly.
  • Coordinate project kick-off and progress meetings.
  • Project Documentation
  • Maintain project files and document control.
  • Prepare meeting agendas and minutes.
  • Track action items and ensure timely follow-up.
  • Manage project correspondence and approvals.
  • Maintain contracts, drawings, BOQs, RFIs, submittals, and project records.
  • Prepare weekly and monthly project reports.
  • Communication

  • Assist in monitoring project budgets
  • Track project expenditures.

  • Coordinate invoice approvals.
  • Support cost reporting.
  • Site Coordination
  • Visit project sites regularly.
  • Monitor work progress.
  • Coordinate between site and head office.
  • Ensure documentation from site is complete.
  • Follow up on safety and quality observations.
  • Risk Management
  • Identify potential project risks.
  • Maintain risk register.
  • Monitor mitigation actions.
  • Report project issues to Project Manager.

  • Ensure project documentation complies with company procedures.
  • Coordinate inspections.

Qualifications

  • Bachelor's Degree in Civil Engineering, Architecture, Construction Management, Project Management, Business Administration, or related field.
  • PMP or Project Management certification is an advantage.
  • Minimum 3–5 years of experience in project coordination, construction, engineering, or infrastructure projects.
  • Experience coordinating multiple projects simultaneously.
