Job Description

A Great Opportunity for ...

  • Manage maintenance plans, mailing, shipping, supplies, equipment, bills and errands
  • Oversee and organize schedule meetings and appointments
  • Develop and maintain the office policies across the office spaces
  • Work together with technical department for IT equipment system, office equipment, appliances faults and arrange schedule, maintenance
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Work together with property management personnel for office equipment such as seasonal car parking management, lift access for heavy items and so on
  • Provide general support to visitors, office tour
  • Manage executives’ schedules, meeting room arrangement, calendars and appointments
  • Manage and organize company-wide events for birthday, internal fun fair and events
  • Manage and ensure office cleanliness by managing the personnel and plan schedule for the routine cleaning
  • Manage reception team for the work schedule and necessary assignment of tasks
  • Manage and plan for the office supplies, print supplies, F&B arrangement and seasonal decoration
  • Monitor petty cash and record expenses as well as maintaining budget
  • Any other office related ad-hoc duties assigned by CEO
  • Report directly to CEO

Job Requirements

  • Proven office management, administrative or assistant experience at least 2 years
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi-task and prioritized work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Proficient in MS office, meeting scheduling software and Email
  • Knowledge of clerical practices and procedures
  • Knowledge of human resources management practices and procedures
  • Additional benefits for English and Chinese languages
  • Must be patient and ability to handle multiple assignments
  • Knowledge of planning and scheduling is a must
  • Ability to build relationship and rapport with clients is a must
  • Experience in supply management and work flow procedures is a must
  • Comfortable in working fast-paced environment
