An Executive Assistant is responsible for overseeing daily operations in the CEO department:

Job Overview 

The Executive Assistant (Manager Level) will deliver high-level administrative, organizational, and strategic support to the Country Manager, CFO, and Vice President of EFG. This pivotal role demands exceptional multitasking, communication, and leadership capabilities to ensure seamless operations and effective coordination across the executives' offices. The ideal candidate will serve as a trusted advisor, managing complex schedules, confidential information, and critical projects while maintaining the highest standards of professionalism and discretion. 

 

Key Responsibilities 

Administrative Support 

  • Provide comprehensive administrative support, including managing schedules, calendars, meetings, and travel arrangements for the three senior executives. 
  • Prepare high-quality reports, agendas, presentations, and briefing materials to ensure executives are well-prepared for meetings and engagements. 
  • Organize and coordinate meetings, including agenda preparation, minute-taking, and follow-up on action items to ensure accountability and progress. 
  • Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications to optimize executive focus. 
  • Handle confidential and sensitive information with the utmost discretion and integrity. 
  • Assist in the development, review, and finalization of key business documents, contracts, and policies as required. 

Strategic and Operational Support

  • Facilitate effective communication and collaboration between the three executives and their respective teams to drive alignment and efficiency. 
  • Track and monitor action items, deadlines, and deliverables to ensure timely execution of initiatives and projects. 
  • Support business planning, budgeting, and financial reporting processes in collaboration with relevant departments. 
  • Conduct research and analysis to provide actionable insights and support executive decision-making.

Communication and Coordination 

  • Act as a liaison for internal and external communications on behalf of the executives, ensuring clarity and professionalism. 
  • Foster effective communication across teams and departments to enhance collaboration and information flow. 
  • Manage correspondence and ensure timely and accurate responses to inquiries and requests. 

Other Duties as Assigned 

  • Undertake special projects and assignments as directed by the executives, demonstrating flexibility and initiative. 
  • Continuously identify opportunities to improve administrative processes and optimize workflow efficiency.

  • Bachelor’s degree in Business Administration, Management, or a related field. 
  • Minimum of 7-10 years of experience in an executive support role, preferably supporting C-suite or senior leadership. 
  • Proven track record in project management and cross-functional collaboration. 
  • Experience in a multinational or matrix organization is highly desirable. 
  • Exceptional organizational and time-management skills, with the ability to prioritize effectively in a fast-paced environment. 
  • Strong written and verbal communication skills, with fluency in English (additional languages are a plus). 
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools. 
  • Demonstrated leadership skills with the ability to manage and inspire teams effectively. 
  • High level of emotional intelligence, professionalism, and discretion in handling sensitive matters. 
  • Strong interpersonal skills, with the ability to build rapport and trust with stakeholders at all levels. 
  • Adaptable and resilient, maintaining a positive attitude and composure under pressure.
