Roles and Responsibilities; Administrative Responsibilities •Organize and maintain the CEO's schedule and assist daily management by performing a variety of administrative tasks in appointments, meetings, and conferences •Remind the important tasks and deadlines •Attend meetings and take notes as assigned by Chief Executive Officer •Assist to Interpret administrative and functional policies, procedures, and processes •Plan and maintain office systems, including data management, filing, maintaining records •Assist in preparing documents, briefing papers, reports, and presentations as required •Screening, dealing, inquiring, and requesting incoming/outgoing phone calls, emails, faxes, and correspondent handling to redirect them when appropriate. •Assist in carrying out background research, finding and presenting or reports on a specific project as assigned •Liaison with government officials, clients, and suppliers as assigned by Executive Director •Cooperation and coordination with internal teams and other co-workers Financial Responsibilities •Assist to prepare accounts and budgets •Prepare to request and reimburse of business travel and other general expenses of Board members Travel Administration •Assist to ensure for travel arrangements as assigned by CEO such as arranging travel, air tickets, visas, accommodation, etc... •Occasionally traveling with CEO to take notes or dictation at meetings or to provide general assistance during presentations; Personal Administration •Responsible of the secretariat’s role can be extensive and additional personal tasks for executives may include
Key Responsibilities: • Content Creation: Develop engaging content for social media platforms (Facebook, LinkedIn, Viber), website, email newsletters, and other digital channels, aligning with the company’s tone of voice. • Content Calendar Planning: Plan and maintain a detailed weekly and monthly content calendar to ensure consistent and timely communication across all platforms. • Graphic Design: Design promotional materials, brochures, banners, and other marketing collateral using tools like Canva and Photoshop. • Social Media Management: Plan, schedule, and monitor social media posts, ensuring consistent brand messaging and timely responses to audience engagement. • Digital Campaigns: Assist in planning and executing digital marketing campaigns, including social media ads, email marketing, and search engine marketing. • Event Coordination: Support in organizing marketing events, trade shows, and site visits, ensuring effective promotion and smooth execution. • Market Research: Conduct competitor analysis, market trends research, and customer feedback collection to support marketing strategies. • Collaboration: Work closely with sales, design, and external agencies to produce and distribute marketing content. • Reporting: Track and analyze marketing campaign performance metrics, providing regular reports to the Management.
Responsibilities: Maintaining Accurate books and records Running day-to-day accounting operations Creating reports that provide insights into the company’s financial standing (e.g., accounts receivable, accounts payable, inventory, payroll, and invoicing). Reviewing financial statements and reporting on any errors or anomalies in accounting methodology Establishing and maintaining effective working relationships with external auditors, regulators, and other stakeholders such as attorneys and external parties such as customers or supplier Preparing financial statements for external reporting purposes such as tax returns, regulatory filings, and stock offering Monitoring cash flow to ensure that bills are paid on time and that there is enough money available to cover upcoming expenses Preparing reports on company performance including profit and loss statements, balance sheets, and cash flow analyses Reviewing financial records, contracts, and other documentation to determine accuracy and completeness of data Participating in or leading internal audits to assess the effectiveness of internal controls within an organization’s financial management system Conducting research to identify new accounting methods or procedures which could improve efficiency or effectiveness of operations Identifying issues with accounting processes or procedures that could lead to future errors or misinterpretations of data
