Roles and Responsibilities;
Administrative Responsibilities
•Organize and maintain the CEO's schedule and assist daily management by performing a variety of administrative tasks in appointments, meetings, and conferences
•Remind the important tasks and deadlines
•Attend meetings and take notes as assigned by Chief Executive Officer
•Assist to Interpret administrative and functional policies, procedures, and processes
•Plan and maintain office systems, including data management, filing, maintaining records
•Assist in preparing documents, briefing papers, reports, and presentations as required
•Screening, dealing, inquiring, and requesting incoming/outgoing phone calls, emails, faxes, and correspondent handling to redirect them when appropriate.
•Assist in carrying out background research, finding and presenting or reports on a specific project as assigned
•Liaison with government officials, clients, and suppliers as assigned by Executive Director
•Cooperation and coordination with internal teams and other co-workers
Financial Responsibilities
•Assist to prepare accounts and budgets
•Prepare to request and reimburse of business travel and other general expenses of Board members
Travel Administration
•Assist to ensure for travel arrangements as assigned by CEO such as arranging travel, air tickets, visas, accommodation, etc...
•Occasionally traveling with CEO to take notes or dictation at meetings or to provide general assistance during presentations;
Personal Administration
•Responsible of the secretariat’s role can be extensive and additional personal tasks for executives may include
