The duty of a receptionist is to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. The role involves answering and transferring phone calls to employees, sorting and delivering mail to employees and greeting visitors when they arrive for meetings with management or sales staff.

 

Overall Responsibility

  • Greet and welcome guests and direct the guests to the respective person/departments.
  • Answer, screen, and forward incoming phone calls.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material.
  • Receive, sort, and distribute mail/deliveries.
  • Deal with external/internal stakeholders.
  • Receive incoming telephone messages and relay them to the respective person in a timely manner.
  • Welcome all internal and external stakeholders in a proper and respectful manner.
  • Make sure and have awareness on all Company’s rules and regulations.
  • Assist external and internal stakeholders when and if needed.
  • Support the HC and Administration teams with ad-hoc tasks when required
  • Assist in organizing office events, meetings, and employee engagement activities
  • Maintain office supplies and inventory for reception and common areas.
  • Perform other administrative duties assigned by team leaders as required.

Job Requirements

  • Any Graduate or with relevant experience.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite.
  • Solid written and verbal communication skills
  • Ability to resourceful and proactive when issues arise.
  • Interpersonal skills to create a pleasant experience for all customers, such as being personal and attentive.
  • Certification in English communication skill (both oral and written)
