Position Summary:

The Executive Secretariat Manager will be responsible for providing high-level support to Management team in a fast-paced environment. The role requires a proactive, organized and self-motivated individual who has excellent communication and interpersonal skills. The successful candidate will be responsible for providing management support, managing calendars, and coordinating meetings and events.

 

Key Responsibilities:

  • Provide administrative support to the business development team.
  • Manage calendars, schedule appointments, and coordinate meetings and events.
  • Assist with travel arrangements and expense reporting.
  • Conducting research and analyzing data to support decision-making
  • Providing and linking with the Department Heads and Top Management support as needed.
  • Follow up reports must be submitted to the BOD in a timely manner whether the operations of the company are running properly or not.
  • Building a good relationship and making better communications with not only BOD, CEO, HOD and employees but also business mates from the outside.
  • Support ongoing projects, help create and foster a respectful and inclusive team environment.
  • Create and maintain accurate records, files, and reports.
  • Manage and prioritize incoming correspondence, emails, and phone calls.
  • Develop and maintain a filing system for all documents and records related to business development.
  • Coordinate and communicate with internal and external stakeholders on behalf of executive chairman.
  • Prepare materials and presentations for meetings and events.
  • Perform other duties as assigned.

Job Requirements

  • Bachelor's degree in business administration, management, or related field.
  • Minimum of 5 years of experience in an executive support role.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Strong interpersonal, organizational and time-management skills.
  • Strong attention to details and able to multitask
  • Proficient in Microsoft Office Suite.
  • Experience in business development is preferred.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information.
