Job Description

Responsibilities:

  1. Procurement:

    • Source and purchase materials, supplies, and services based on departmental needs and budgetary constraints.
    • Evaluate potential vendors and negotiate favorable terms and pricing agreements.
    • Process purchase orders and ensure timely delivery of goods and services.
    • Maintain accurate records of purchases, pricing, and inventory levels.
  2. Vendor Management:

    • Cultivate and maintain positive relationships with vendors and suppliers.
    • Resolve any issues or discrepancies with orders, deliveries, or invoices.
    • Monitor vendor performance and conduct periodic evaluations to ensure quality and reliability.
  3. Administrative Support:

    • Provide administrative assistance to various departments, including handling correspondence, scheduling meetings, and maintaining files and records.
    • Assist in the preparation of reports, presentations, and other documentation as needed.
    • Coordinate with other staff members to ensure seamless communication and workflow across departments.
  4. Inventory Control:

    • Monitor inventory levels and track usage patterns to anticipate future needs.
    • Conduct regular inventory audits to reconcile stock levels and identify discrepancies.
    • Recommend adjustments to inventory levels and procurement strategies based on analysis and forecasting.
  5. Compliance and Documentation:

    • Ensure compliance with company policies, procedures, and regulatory requirements in all purchasing and administrative activities.
    • Maintain accurate and up-to-date documentation related to purchasing, contracts, and vendor agreements.
    • Assist in the development and implementation of procurement policies and procedures to optimize efficiency and mitigate risk.

Job Requirements

  • Bachelor’s degree in business administration, supply chain management, or a related field preferred.
  • Proven experience in purchasing, procurement, or related administrative roles.
  • Strong negotiation skills and ability to build and maintain effective relationships with vendors and suppliers.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office preferred.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Strong analytical and problem-solving abilities.
  • Ability to work independently as well as part of a team in a fast-paced environment.
