Role Overview

We are seeking an organized and analytical Operations Assistant to support the COO in managing the day-to-day domestic operations of our solar distribution business, covering solar panels, inverters, batteries and related products.

The role focuses on operations after products are received into the country, including inventory control, warehouse coordination, order fulfillment, distribution, delivery and cross-department coordination.

Key Responsibilities

• Support the COO in coordinating daily distribution operations.

• Monitor inventory levels, stock movements and product availability across brands and product categories.

• Coordinate warehouse receiving, storage, picking, dispatch and stock accuracy.

• Track sales orders from confirmation through preparation and final delivery.

• Coordinate between Sales, Warehouse, Finance, Logistics and After-Sales to ensure timely order fulfillment.

• Monitor deliveries and follow up on operational issues and delays.

• Track stock allocation and distribution according to management-approved plans.

• Assist with inventory counts and investigate stock discrepancies.

• Maintain accurate operational data and records using Odoo ERP.

• Prepare daily, weekly and monthly operational reports and dashboards for the COO.
• Track KPIs including order fulfillment, delivery performance, inventory accuracy and stock movement.
• Follow up with departments on actions and deadlines assigned by the COO.

• Identify operational bottlenecks and recommend process improvements.

• Use AI and digital tools, where appropriate, to improve reporting, data analysis, documentation and operational efficiency.

• Support the COO with special projects and implementation of new operational procedures.


Qualifications

• Bachelor’s degree in Business Administration, Operations, Supply Chain, Logistics or related field.

• 2–4 years of experience in operations, distribution, warehouse coordination, logistics or supply chain.
• 
Experience in a distribution or trading business preferred.

• Strong Excel, reporting and data-analysis skills.

• Experience using Odoo ERP, particularly Inventory, Sales and related operational modules, is highly preferred.

• Familiarity with AI tools and their practical use for analysis, reporting, automation and productivity is an advantage.

• Strong organizational, coordination and problem-solving skills.

• Detail-oriented with strong follow-up and execution ability.
