Job Description

Job Purpose:
 Assist Director/Head of Procurement and Vendor Management in dad to day functions
 Manage smooth flow of works by co-ordinating with internal customer (Engineering , Rollout Tower & Power, Co-Locations Teams, O&M, HSE, Administration, and IT Depts)
 Support department in converting manual PR into ERP Local Purchase Requisitions.
 Preparing local purchases PR in ERP System and after approval sending PO to vendor.
 Record PR in Procurement shared drive
 Updated PO Number in Tarantula for SAQ and Civil Works PO Only.
 Prepare draft GRN for Services
 Manage and control subcontract Frame Agreements Documents scanning of originals into procurement shared drive.
 Responds to written and verbal inquire from a variety of suppliers for the purpose of resolving PO, VO or invoice related problems, providing information and/or referring to appropriate personnel and/or identifying the relevant issues and recommending or implementing a remediation plan

Dimensions:
 Providing support to the team, and help in local purchases by negotiating price, delivery, and paymentterms with suppliers and updating in PO in system and follow procedures effectively.
 Providing support and advice and sharing concerns to his/her Manager on area of work.

Duties / Accountabilities:
(a) Performance Management Administration
 The Employer may vary these duties and responsibilities from time to time or assign you additional duties and responsibilities. The Employer may provide a detailed Job Description in supplement to the above.

(b) Policy Compliance Administration
 Responsible for following and efficient implementation of IGT’s procurement policies & procedures and local laws.
(c) Health & Safety Administration
 Seek advice from HSE Manager for required action in receipt of health & safety related issues, incidents, etc. and get back to contractors
(d) Complaints mechanism administration
 According to circumstances, provides guidance and recommendations for problem resolution to departmental officials and individuals according to IGT’s policy and procedure.
(e) KPI/KRA management
 Carry out duties and responsibilities effectively and per assigned KPI Targets for financial year according to IGT’s policy and procedure.
(f) Ethics in Procurement Practice
 Carry out duties and responsibilities by complying with procurement work ethics and as per
(g) Leave Planning
 Plan leave and inform line manager in advance and also filing leave applications in ERP according to
(h) Time Management
 Carry out duties and responsibilities as Procurement Administrator sincerely by being Punctual,
 Filing overtime sheets on time and taking line manager approvals before sending HR.

Authority:
 Authority in the scope of employee is to maintain relation with appropriate response and activities
 Be aware of individual limits of signing authority and confirm with line manager at all times.
 Be aware of the principal your signature and your responsibility.

Job Requirements

Requirements / Competencies
 Any degree holder AND / OR specific qualification in engineering. AND/ OR previous experience in
 Strong and proven negotiation skills, excellent interpersonal skill and a team player.
 Ability to gather facts and statistics and make financial calculations for planning and other uses.
 Accuracy and good attention to detail.
 Ability to work under pressure and with tough deadlines.
 Awareness on organisational culture and climate.
 Strong understanding of local law and practice.

Personal attributes:
 Team player, service oriented person with good communication skills.
 Strong interpersonal awareness including diplomacy, tact, being able to get on well with others and
