Job Description

A Good Opportunity for ..

1. Administrative Operations Support

Assist in managing daily administrative operations and office activities.

Support the implementation of administrative policies, procedures, and office systems.

Prepare administrative reports, operational records, and departmental documentation.

2. Facility & Office Management

Coordinate office facilities, maintenance, and workplace arrangement activities.

Monitor office utilities, cleanliness, and maintenance service schedules.

Support workplace safety, office security, and operational compliance activities.

Assist in office renovation, workspace setup, and operational improvement activities.

3. Transportation & Logistics Coordination

Coordinate transportation arrangements, vehicle usage, and driver schedules.

Support travel, accommodation, and meeting arrangement activities.

Monitor vehicle maintenance records, fuel usage, and transportation documentation.

4. Procurement, Inventory & Asset Management

Assist with procurement coordination and vendor communication activities.

Monitor office supplies, inventory usage, and stock control systems.

Maintain company asset records, registration, and tracking documentation.

Coordinate external service providers and administrative support services.

5. Documentation & Team Support

Maintain document control systems, filing records, and administrative documentation while ensuring confidentiality.

Supervise support staff (reception, housekeeping, administrative personnel) and assign daily tasks.

Coordinate workflows, delegate tasks, and maintain a productive team environment.

Support urgent operational needs, special projects, and cross-departmental tasks assigned by senior management.

Job Requirements

Education & Qualification Requirements

  • Must possess a University Degree in Administration, Management, or a related field.

  • A professional diploma or relevant certification in administrative management is preferred.

Work Experience Requirements

  • Minimum 5 to 7 years of proven experience in overall administration and office operations functions.

  • Minimum 2 to 3 years of supervisory or team leadership experience managing administrative teams.

  • Hands-on experience in facility management, office administration, and transportation coordination.

  • Practical experience in vendor management, procurement coordination, and inventory control.

  • Demonstrated experience in managing office documentation systems, operational reporting, and administrative support functions.

  • Background in trading, distribution, logistics, or the electronics industry is highly preferred.

  • Strong leadership, team supervision, and organizational management capabilities.

  • Excellent interpersonal, communication, and multi-functional coordination skills.

  • Proven problem-solving, analytical, and operational decision-making abilities.

  • Exceptional planning, time management, and multi-tasking skills with the ability to perform under pressure.

  • Advanced proficiency in Microsoft Office Suite and modern administrative management software.
