Duties and Responsibilities

  • Assisting head of administration head to develop administration policy, procedure and guideline.
  • Taking responsible for effective distributing (or) delivering all kind of internal and external documents/equipment’s to the target receivers in head office as well as to branch offices.
  • Collaborating with colleagues to implement day-to-day operational activities and develop improvements.
  • Ensuring of well-organized and storage of stationery supplies, equipment and other relevant documents of admin departments such as policies, office rental agreement, letter in, letter out and etc.
  • Resolving issues that may arise in a timely manner especially from the branches
  • Assuming responsibility for timely reporting to head of administration department.
  • Ensuring submit report to head of administration department weekly and monthly basic.
  • Supporting to head of admin department to do the process of office rental, decoration, and renovation to assure the standardize branding of all MFI’s offices and security.
  • Working in a team with all colleagues of admin department to meet organizational goals and harmonize departmental activities.
  • Managing budgets and contracting, and business negotiations especially for Procurement, logistic and inventory unit.
  • Preparing documents for audit purpose and formulating improvements to departmental workings.
  • Assisting to head of admin department to arrange office spaces to locate staffs of each function and for meeting, training or conference etc.
  • Taking control of the procuring process such as quotation, negotiation, supplier selection and preparing of service agreement with assuring quality and timing.
  •  Taking responsible of handling the acquisition, distribution and storage of equipment, suppliers and logistic tasks such as administration of vehicle, transportation, document delivery, accommodation etc.
  • Coordinating inter-departmental activities and delegating responsibilities to subordinates.
  • Performing other tasks as assigned by head of administration department.

Job Requirements

Qualifications:

  • Bachelor degree in any field but Bachelor degree in business management or business administration is preferable.
  • Diploma/Certificate in business management and administration, procurement management, human resource management, logistics and supply chain management.
  • Minimum 5 years of relevant working experiences in-depth understanding of office management procedures, departmental and legal policies.
  • Able to work under pressure.
  •   Strong leadership with mentoring and coaching skills.
  • Demonstrated sound judgment and ability to manage simultaneous priorities under deadlines.
  • Excellent organizational, planning and analytical skills.
  • Problem solving skills and result oriented and team spirit.
  • Fluent in English and Burmese.
