Job Description
· Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
· File and retrieve corporate documents, records, and reports and uphold a strict level of confidentiality
· Create spreadsheets and presentations as needed
· Prepare agendas and make arrangements for committee, board, and other meetings.
· Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.
· Attend meetings to compile minutes, and distribute to departments.
· Meet with individuals, special interest groups and others on behalf of executives, committees and boards of directors.
· Oversee administrative policies and procedures for offices and/or organizations.
· Prepare and maintain meeting agenda for monthly administration team meeting and other meetings as assigned
· Screen internal/external calls, email, and written correspondence.
· Prepare executive responses to routine memos, letters, or correspondence.
· Assist in developing relationships with ministries; conferring with staff at a chosen event/meeting site to coordinate details
· Assist in special assigned projects such as MIC related tasks
· Manage and maintain executives' schedules.
· Confirm and coordinate with MD and Deputy MD to determine their travel needs and preferences; notifying them of the essential information, such as travel times and transportation connection and/or any change to their itinerary
