The Role
The company is looking for a bright and dynamic candidate to work as an Executive Assistant & Office Manager. The Executive Assistant & Office Manager will work closely with the management and the investment and ESG associates and analysts of the company to support the company’s operations in Myanmar, and his/her responsibilities include handling all aspects of the company’s secretarial, administrative, accounting and compliance matters. The candidate will have the opportunity to work with experienced management and a team of highly qualified and motivated local and foreign professionals. The Executive Assistant & Office Manager will also interact with “high profile” domestic and international figures. The candidate is expected to quickly familiarize him/herself with key personnel and learn fast to execute responsibilities and tasks efficiently and effectively. He/she should be highly reliable and have a strong work ethic.

 

The Responsibilities
Secretarial matters
• Scheduling meetings and appointments for business meetings
• Meeting and greeting visitors at all levels of seniority
• Corresponding on behalf of the management when appropriate
• Arranging travels (flights, hotel, ground transportation, visas) for team members and visitors
• Maintaining computer and physical filing systems
• Planning internal and external events, including investor meetings and team offsite
• Screening and handling phone calls, emails, and mails

Administrative matters
• Maintaining office services by organizing all of fice operations and procedures, controlling correspondence, designing filing systems, arranging supply requisitions, managing vendors, comparing vendor prices, and negotiating for optimal savings
• Providing historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records
• Maintaining office efficiency by planning and implementing office systems, layouts, and equipment procurement, including repairs and maintenance as necessary

• Designing, implementing, and maintaining office policies by establishing standards and procedures (including expense claims/leaves calendar)
• Fulfilling office operational requirements by scheduling and assigning third party cont ractors (including drivers, cleaners, or others); following up on work results
• Suggesting improvement areas and contributing to team ef fort for initiatives undertaken by the management
• Providing the front desk support with various tasks, including document dispatch, meet & greet in person

 

Accounting matters
• Managing offiice-related expenses and petty cash
• Book-keeping and performing simple data entry in office accounting system
• Monthly reporting to and liaising with the head of f inance for monthly expenses


Compliance matters
• Liaising with external service providers.
• To provide support in maintaining the company statutory registers and records
• To coordinate in preparation and completion of regulatory and compliance documents (including audits and taxes)
• To verify and administer the salaries and personal income tax for the team members
• Lodging and filing all necessary documents required by Myanmar Law in a timely manner
• Staying updated on relevant developments and changes in statutory and regulatory obligations
• Handling corporate secretarial duties including company incorporations, annual filing at DICA, preparation of KYC documents, directors/shareholders board resolutions for bank account opening & change of signatories, etc

Job Requirements

The Qualification Requirements
• Fluency in English and Myanmar (both spoken and written)
• Bachelor’s degree holder, additional relevant qualifications a plus
• Minimum 3 years working in office management and as an executive assistant; work experience in an international company/organization a strong plus
• Basic accounting knowledge and familiarity with the companies’ law and company tax
• Experience in using computers, and of f ice hardware (printer, scanner etc.), and sof tware (Word, Excel, Outlook)
• Excellent communication and interpersonal skills; dynamic, proactive and team player a must
• Highest level of professionalism in person, on the phone and by email
• Ability to handle multiple tasks efficiently and effectively; meet tight deadlines, maintain composure under pressure
• Demonstrate excellent attention to detail
• The highest degree of integrity, trustworthiness, professionalism and discretion required
• Must be able to work independently and work well under pressure in a fast-paced environment
