Strategic Purpose of the Position

This position is responsible for overseeing the effective maintenance program and managing all administrative and facility operations across all business units. The role ensures comprehensive support to business operations and leads the Admin & Facility team to deliver high-quality office facilities, including building maintenance, renovation projects, utilities management, workforce planning, vendor management and supports operational and organizational needs.

 

Job Description

Admin

  • Oversee day-to-day office operations to ensure a safe, clean, and efficient working environment.
  • Manage office leasing, office ferry transportation and catering service.
  • Develop and implement administrative policies, procedures, and standards.
  • Manage company-wide administrative support processes (e.g., document control, filing systems, office inventories).
  • Coordinate with procurement and business units on uniform ordering, employee care pack, ferry transportation, catering service and etc.
  • Ensure compliance with organizational standards and local regulations.
  • Prepare and propose budget plan for administration department. To monitor and track expenses report and ensure cost effective use of resources.
  • Ensure the efficient and timely delivery of employee services, including issue employee ID cards, uniforms, business cards, staff beers, employee care packs, pantry supplies (coffee, tea, drinking water, etc.) and other related items.
  • Coordinate company events, meetings, travel arrangements, and logistics.
  • Oversee third‑party service providers including pest control, ferry transportation, and catering services based on business requirements for locations such as the Head Office, Brewery, and Depots.                            

Facility Management

  • Oversee day-to-day facility operations to ensure continuous business support.
  • Develop and implement preventive and corrective maintenance plans for buildings, equipment, and utilities.
  • Oversee regular repairs and maintenance, office renovations, workforce planning, and workplace enhancements for the head office and depots to ensure operational efficiency and a conducive working environment.
  • Plan, source, allocate, and maintain office furniture, including the assignment of workstations, chairs, tables, cabinets, and other necessary items to support employee workspace requirements.
  • Ensure that all claims related to third-party service management are properly reviewed and approved in accordance with established procedures.
  • Prepare and propose budget plan for facility and security area.
  • Monitor and report monthly expenditure related to facilities, and security to ensure alignment with the approved budget plan.
  • Ensure continuous improvement of third-party services in alignment with organizational standards, contractual obligations, and compliance with Myanmar Labor Laws.

Job Requirements

  • Minimum 5 years of experience in Facility Management
  • Strong knowledge of facility operations
  • Excellent leadership, communication, and organization skills.
  • Strong vendor management, problem-solving, and negotiation abilities.
  • Ability to manage multiple tasks independently and deliver under deadlines.
  • Demonstrate initiative and flexibility.
  • Being an effective team player.
  • Discreet and reliable.
  • Showing punctuality.
  • Preferable be able to use basic MS Office programs: Word, Outlook, Excel etc.
