1. Order Processing:

• Receive and process sales orders from customers accurately and efficiently.

• Verify order details, including product, quantity, pricing, and delivery instructions.

• Coordinate with logistics and distribution teams to ensure timely order fulfillment.

• Generate invoices, packing slips, and shipping documents as required.

2. Customer Service:

• Serve as the primary point of contact for customer inquiries, orders, and complaints.

• Respond promptly to customer requests and resolve issues in a professional and courteous manner.

• Communicate effectively with customers to provide order status updates and address any concerns.

3. Sales Support:

• Assist sales representatives with administrative tasks, such as preparing sales proposals, presentations, and reports.

• Maintain accurate records of sales transactions, customer interactions, and inventory levels.

• Coordinate with internal departments, including marketing, finance, and production, to support sales initiatives.

4. Data Management:

• Enter and update customer information, sales orders, and inventory data in the company's database or CRM system.

• Compile and analyze sales data to generate reports and insights for management review.

• Ensure data integrity and accuracy through regular audits and validation checks.

5. Documentation and Filing:

• Organize and maintain sales-related documentation, including contracts, agreements, and pricing lists.

• File documents electronically or in physical folders according to established protocols.

• Retrieve and provide requested documents to internal stakeholders or external auditors as needed.

6. Administrative Support:

• Assist the sales team with scheduling appointments, coordinating meetings, and managing travel arrangements.

• Handle general administrative tasks, such as answering phone calls, responding to emails, and maintaining office supplies.

Job Requirements

Qualifications

- Bachelor’s degree or Diploma Holder

- Minimum 2 years of experience in a sales support, sales admin, or related role.

- Proficient in MS Office (Excel, Word, PowerPoint).

- Strong organizational and multitasking skills.

- Attention to detail and ability to meet deadlines.

 

Preferred Competencies

- Knowledge of sales processes and reporting.

- Ability to work under pressure in a fast-paced environment.

- Team player with proactive problem-solving skills.
