Job Description

An Exciting Opportunity for ...

General Administration

  • Organize and manage CLL events and other activities (Birthday, Staff Party, Annual Trip, Donation, and so on.,)
  • Supervise and monitor day to day operation of the administrative department and staff members.
  • Maintaining the documentation of the administrative process.
  • Arrange and manage phone allowance process for employees monthly.
  • Manage to proceed for creating and deleting of email account and business card for the employees who need.
  • Check and manage work assignments of duty roster for cleaners monthly.
  • Review and monitor of employee performance appraisal and consult employee performance if needed.
  • Submit and prepare of Internal-announcement Letter, Rules & Regulations and send to everyone in email.
  • Keep employee information by entering and updating employment and status changes the data.
  • Maintain HR policies as necessary.
  • Supervising and monitoring the process of legal issues (coordinate with Legal Advisor).

Maintenance

  • Oversee maintenance activities of daily, monthly & yearly office maintenance plan from maintenance Executive.
  • Check and manage the purchasing of maintenance items & equipment by Maintenance Executive.

Facilities Management & Local Purchasing

  • Coordinate and oversee some matters related to employee accommodation, other facilities and transport as needed.
  • Arrange the required facilities for new employees such as table, chair, computer and other facilities.
  • Arrange and manage to order for Staff’s Uniform.
  • Arrange and design, make the inquiry to suppliers, collect the sample of uniform before final approval and check the quotation and payment process.
  • Monitor and maintain the fixed assets register.
  • Manage for purchasing of Laptop, iPad, others as required and register on devices with code number and issue to them with their signature.
  • Manage the local purchasing process for stationary, office supplies, office miscellaneous items and IT.
  • Coordinate with IT department on all IT equipment.
  • Manage relationships with vendors, service providers, ensuring that all items are invoiced and paid on time.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  • Monitor costs and expenses in budget preparation.
  • Manage petty cash, client purchases and purchase orders in a fiscally responsible and timely manner.

Fleet Management

  • Monitor the daily routes for using office car, scheduling regular vehicle maintenance, maintaining detail records of vehicle servicing, lease or purchase vehicles and registering and licensing all vehicles.
  • Check with monitor by GPS vehicle tracking and arrange to pay Motor insurance by IKBZ Company.
  • Control Vehicle Fuel Usage and arrange to pay fuel expense twice per month by Denko Trading Co ltd.
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office.
  • Responsible for all administrative function of General Administration, Maintenance, Facilities Management & Local Purchasing, Fleet Management.
  • Allocate tasks and assignments to subordinates and monitor their performance.
  • Responsible for ensuring office financial objectives are met by preparing annual budget for the office.
  • Evaluate and manage staff performance.
  • Ensure records and reports required by the Senior Management are prepared in an appropriate form and on a timely basis.

Job Requirements

  • Any Graduate
  • Bachelor’s Degree or Diploma in Business Administration, Management or related field.
  • At least 8 years of experience in the field or in a related area.
  • Knowledge of office management systems and procedures.
  • Experience with office management tools (MS Office software, in particular).
  • Excellent organizational and time-management skills.
  • Problem-solving attitude with an eye for detail.
  • Negotiation and communication skills.
