Job Description

An Exciting Opportunity for ...

  • Coordinate and manage all administrative policies, procedures and systems as per SOPs
  • Supervise day-to-day operations of the administrative department, housekeeping and drivers.
  • Arrange travel and accommodations for local employees according to HR policies and domestic travel as necessary
  • Ensure daily cash collections at all outlets of Capital and GnG stores to be safe and smooth
  • Coordinate with accountants for monthly payment process such as utilities bills, office vehicle’s cost, employee’s phone bill allowance and other office expenses
  • Arrange petty cash for CREL, GnG, CLS operation offices as required
  • Organize office allocations for HOD, new joiners, current employees and hostel arrangements for the staffs
  • Monitor to extend office vehicle license, stores stock insurance and vehicle insurance process every month
  • Arrange transportation for HOD and daily ferry way arrangement to all employees and operation staffs (day, night shifts) including grab taxi arrangements as necessary
  • Keeping the record of office expenditure and daily document control process related to admin department
  • Check, maintain the condition of the office and, arrangement for repair plan if necessary.
  • Ensure office is stocked with necessary supplies and all equipment is working and properly maintained
  • Handle fixed assets control and recycling process for selling damage office furniture (freezer, refrigerator, generator etc.)
  • Support Covid-19 protection arrangements to the offices and protection procedures as per MOHS Guideline
  • Control FOC items from suppliers and manage to share with employees (for example- welcome gifts to new joiners)
  • Organize and supervise organizational events and seasonal ceremony such as staffs party, Kahtina robe offering ceremony)
  • Prepare weekly, monthly report of administrative functions to management
  • Perform any other related duties and responsibilities as assigned by Head of Human Resources

Job Requirements

  • Minimum 5years experience in administrative field, especially in Retail Business
  • Excellent organizational and multitasking skills, good communication skills and problem solving skills
  • Good at MS Office (Word, Excel, PowerPoint)
  • Must be willing to work shifts/flexible to work overtime as often as required
  • Knowledgeable, Proactive Attitude and Honesty
