Job Description

A Big Opportunity for ...

  • Provides diverse and advanced administrative day to day support to Chief Executive Officer.
  • Establish and maintain database of common contacts, internal and external customers and regularly utilize information
  • Gathers, assembles, and analyzes highly confidential and sensitive information and data from a wide variety of sources and prepares reports and memoranda.
  • May prioritize calls and meeting requests, personally responding whenever possible using judgment on potentially urgent matters.
  • Prioritizes and summarizes contents of incoming materials, e.g., mail, reports, government notifications, articles, competitor packages requiring knowledge of operations, an understanding of the individuals involved, protocols, actions required, timelines, signature authority required, compliance and regulatory mandates.
  • Produce general correspondence, presentation pack and reports as required of a highly confidential nature.
  • Organize & participate senior management meetings/ prepare and distribute agenda, minutes, and other relevant papers/ information
  • Regularly interacts with other internal and external executives to obtain and furnish information.
  • Generally, plans, organizes and schedules own work.
  • Arranges and coordinates travel arrangement and scheduling meeting agendas, including the details of the entry papers, currency, passports and visas.
  • Completes expense reports and maintains detailed records of expenses.
  • Performs other duties as assigned, such as coordinating town halls, social events, employees meet up and managing Q&A with the team.
  • Assignments involve work of a confidential or complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact and diplomacy.

Job Requirements

  • Bachelor’s Degree required
  • Demonstrated 3-5 years’ experience and working knowledge in a related secretarial or administrative assistant role at a large international organization
  • Computer literate in MS Word, Excel and PowerPoint
  • Good interpersonal, communication and negotiation skills in English
  • Good organizational and time management skills
  • Independent and able to work under pressure
  • Attention to detail and accuracy

  • The position requires ability and willingness to travel locally or abroad
