The Personal Assistant Cum Executive Assistant to the Chief People Officer (CPO)provides high-level administrative support to ensure the efficient operation of the CPO’s office. The EA serves as a key liaison between the CPO, senior leadership, employees, and external stakeholders, handling confidential matters with discretion and professionalism. This role requires exceptional organizational skills, strong communication abilities, and a proactive approach to managing the CPO’s schedule, priorities, and HR-related initiatives.
Key Responsibilities
1. Administrative Support
• Manage the CPO’s calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare and edit correspondence, presentations, reports, Dashboard and HR-related documents.
• Screen and prioritize incoming communications (emails, phone calls) for the CPO.
• Organize and maintain confidential HR files, records, and databases.
2. Meeting & Event Coordination
• Coordinate executive-level meetings, including agenda preparation, logistics, and follow-up actions.
• Attend key HR leadership meetings, take minutes, and track action items.
• Assist in planning HR town halls, leadership retreats, workshops and employee engagement events.
3. Stakeholder & Employee Relations
• Act as a point of contact between the CPO and internal/external stakeholders (e.g., executives, employees, vendors, regulators).
• Handle sensitive employee matters with confidentiality and empathy.
• Assist in employee communications and HR policy dissemination.
4. Project & Initiative Support
• Assist the CPO in HR projects (e.g., talent management, Bonus plan, performance reviews, Internship, culture initiatives).
• Conduct benchmarking and compile data for HR strategy and decision-making.
• Track HR metrics, budgets, and compliance-related documentation.
5. Office & Operational Efficiency
• Anticipate the CPO’s needs and proactively address administrative challenges.
• Manage expense reports, invoices, and procurement for the HR leadership team.
• Continuously improve processes to enhance productivity.
