  • Supervise and coordinate the daily activities of the Secretary and administrative support team to ensure smooth and efficient operations.
  • Manage and coordinate the schedules, appointments, meetings, and calendars of the Senior Manager AGM/GM & Management, ensuring priorities and commitments are properly organized.
  • Arrange and coordinate Management meetings, including meeting schedules, invitations, agendas, meeting rooms, required documents, equipment, and participant coordination.
  • Prepare and distribute meeting agendas, Minutes of Meeting (MOM), reports, presentations, letters, memos, and other official documents accurately and within the required timelines.
  • Attend Management meetings, take accurate meeting minutes, record key decisions and action items, and follow up with responsible departments/persons on agreed actions and deadlines.
  • Coordinate and facilitate internal and external meetings with HODs, Managers, customers, suppliers, business partners, and other stakeholders as required.
  • Serve as a key coordination point between AGM / Management and internal departments, ensuring Management instructions, requests, and information are communicated accurately and followed up appropriately.
  • Coordinate communication and correspondence between Management, departments, customers, suppliers, government organizations, business partners, and other external parties when required.
  • Monitor, organize, and control incoming and outgoing correspondence, documents, letters, and official communications related to Management.
  • Prepare, review, and consolidate Management reports, presentations, business documents, proposals, and other materials before submission to AGM / Management.
  • Review documents prepared by Secretaries and administrative staff to ensure accuracy, completeness, proper formatting, and compliance with Management requirements.
  • Handle confidential, sensitive, and Management-related information and documents with a high level of professionalism, discretion, and integrity.
  • Maintain an effective filing and document control system for Management records, correspondence, meeting minutes, reports, and confidential documents.
  • Monitor and follow up on Management assignments, pending matters, action plans, and deadlines, providing timely status updates to Management.
  • Coordinate business travel arrangements for AGM / Management, including transportation, accommodation, schedules, itineraries, meeting arrangements, and related documentation.
  • Coordinate Management appointments and external engagements, ensuring all necessary information, documents, and arrangements are prepared in advance.
  • Maintain an updated Management Calendar, Meeting Schedule, Action Item Tracker, and important deadline records.
  • Support Management in preparing for Management Meetings, Board Meetings, presentations, company events, and special business activities as required.
  • Supervise workload distribution, attendance, performance, discipline, and work quality of Secretary / administrative support team members.
  • Provide guidance, coaching, and support to Secretary team members to improve their communication, documentation, coordination, and professional skills.
  • Ensure the Secretary team provides timely, accurate, and professional administrative support to Management and relevant departments.
  • Maintain professional relationships with internal and external stakeholders and represent the Management Office in a professional manner.
  • Identify administrative or coordination issues and provide appropriate solutions or recommendations to Management when necessary.
  • Ensure all Management-related tasks and documents are handled with accuracy, confidentiality, urgency, and proper follow-up.
  • Perform other duties, projects, and special assignments as assigned by AGM / Management.

Job Requirements

  • Bachelor’s Degree in Business Administration, Management, English, or a related field.
  • Additional qualifications in Secretarial Management or Office Administration are an advantage.
  • 5 years of relevant experience in Secretarial, Executive Assistant, Personal Assistant, or Administrative roles.
  • Previous supervisory experience is preferred.
  • Experience supporting Senior Management or Department Heads is highly preferred.
  • Strong English communication and business writing skills.
  • Excellent organizational and time-management skills.
  • Strong coordination and follow-up skills.
  • Good interpersonal and communication skills.
  • Ability to handle confidential and sensitive information professionally.
  • Strong document preparation, filing, and record-management skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Good meeting coordination and minute-taking skills.
  • Strong attention to detail and accuracy.
