Job Description

Office Hiring (New & Renewal)

  • Manage the full cycle of office space hiring—from identifying needs, sourcing locations, and negotiating terms, to renewal and contract administration.
  • Coordinate with management, department heads, and relevant teams to ensure smooth office leasing processes for both new and existing branches.
  • Monitor and oversee office decoration, renovation, and relocation activities to ensure timely completion and compliance with company standards.
  • Prepare office hiring contracts, including managing stamp duty processing and ensuring all required signatures and approvals are obtained.
  • Report to the Assistant Admin Manager and coordinate approvals with the CEO for payments related to office rental and maintenance fees.
  • Handle and track the payment process for office leasing and maintenance charges.

Building and Asset Maintenance

  • Conduct monthly inspections of all branch and HQ office buildings to identify and manage maintenance needs.
  • Oversee and coordinate servicing, repairs, and preventive maintenance of fixed assets such as furniture, air conditioners, printers, generators, vaults, stabilizers, and fire safety equipment.
  • Ensure the timely renewal of licenses for all company-owned vehicles and motorcycles used across branches.
  • Monitor office cleanliness and hygiene daily through CCTV and on-site checks, reporting any non-compliance or issues to the Assistant Admin Manager.
  • Conduct field visits to branch offices to physically inspect building conditions, verify the placement and use of assets, and assess general office safety and maintenance standards.
  • Manage and monitor utility expenses including electricity, water, and mobile phone allowances for both HO and branch offices.
  • Prepare and process monthly payments for meter bills, cleaning services, and building maintenance.
  • Maintain accurate records of building maintenance activities and generator operations for HQ.

Fixed Assets Management

  • Maintain and regularly update the fixed asset register for all branches and the Head Office in coordination with the Finance and IT departments.
  • Conduct monthly asset verification to ensure records accurately reflect physical assets.
  • Review and manage the disposal or write-off process for obsolete or damaged fixed and non-fixed assets in compliance with internal policies.
  • Prepare NVB (Net Book Value) documentation for the write-off and disposal of assets in collaboration with the Finance team.
  • Initiate and manage tender processes for asset disposals, negotiate prices with vendors, and coordinate with the Group Procurement/Admin departments for approval.
  • Prepare and submit the Write-Off Proposal for management approval.

Job Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum 2 years of experience in office administration, facility management, or procurement.
  • Understanding of office management procedures, departmental and related legal policies
  • An analytical mind with problem-solving skills
  • Knowledge of negotiation skills would be an advantage
  • Able to use the Microsoft Office suite
  • Ability to work under pressure
