1. Office Administration & Facilities Management

  • Oversee daily office administration and operational support activities.
  • Ensure office facilities, equipment, utilities, and workplace environment are properly maintained.
  • Coordinate office maintenance, repairs, and annual maintenance contracts.
  • Support workplace setup and new employee facility arrangements.

2. Cost Control & Budget Management

  • Support budget planning and expense monitoring for administrative operations.
  • Control operational expenses and ensure cost-effective utilization of resources.
  • Manage utility billing processes including meter, phone, internet, and office-related services.
  • Support cost-saving initiatives and operational efficiency improvements.

3. Asset & Equipment Management

  • Maintain asset registration, tagging, coding, and tracking systems.
  • Coordinate asset maintenance, movement, stock taking, and disposal processes.
  • Monitor office equipment lifecycle management and inventory accuracy.
  • Support asset management system updates and documentation.

4. Vendor & Service Management

  • Coordinate vendor sourcing, evaluation, and service provider management.
  • Support contract negotiation and service agreement administration.
  • Monitor vendor performance and service level agreements (SLA).
  • Coordinate cleaning, pest control, maintenance, and outsourced services.

5. Procurement & Inventory Coordination

  • Support purchasing operations for office supplies and operational materials.
  • Compare quotations and ensure cost-effective procurement practices.
  • Monitor inventory levels of office consumables and current assets.
  • Conduct periodic stock checking and inventory reporting.

6. Transport & Logistics Coordination

  • Coordinate transportation arrangements and operational logistics support.
  • Monitor fuel usage and transportation-related records.
  • Support vehicle coordination, route management, and operational scheduling.

7. Security, Safety & Compliance

  • Coordinate workplace safety and security activities.
  • Support CCTV monitoring, fire safety readiness, and emergency handling procedures.
  • Coordinate security guard supervision and workplace safety practices.
  • Ensure compliance with company policies, licenses, permits, and government regulations.

8. Documentation & Record Management

  • Maintain systematic filing, documentation, and record retention systems.
  • Manage contracts, administrative records, and office documentation accurately.
  • Ensure confidentiality and proper control of company records.

9. Housekeeping & Workplace Hygiene

  • Coordinate office cleanliness, housekeeping schedules, and hygiene standards.
  • Monitor waste management and workplace sanitation practices.
  • Coordinate pest control and facility cleanliness programs.

10. Event & General Administrative Support

  • Coordinate meetings, staff events, travel arrangements, and accommodation bookings.
  • Support employee welfare administration including uniforms and office support items.
  • Assist in hostel management, insurance coordination, and general administrative activities.

Job Requirements

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Diploma or certificate in Administration or Management is an advantage.
  • Minimum (3–5) years of experience in administration, office operations, or related functions.
  • Experience in retail, trading, manufacturing, or service organizations is preferred.
  • Strong experience in office coordination, vendor management, and administration processes.
  • Able to manage multiple administrative tasks efficiently and systematically.
  • Strong capability to coordinate with departments, vendors, and external stakeholders.
  • Capable of managing deadlines and prioritizing responsibilities efficiently.
  • Strong understanding of cost control and efficient resource utilization.
