1. Administration Responsibilities

  • Manage fire and motor insurance for company assets and vehicles.
  • Support upon the building observation to proceed with the lease related processes for new office building space
  • Assist in leasing documentation and coordination with relevant stakeholders.
  • Prepare and maintain monthly consolidated fixed asset and inventory reports across all branches
  • Support and closely working with Hana Driver Team for the maintenance process of office vehicles
  • Support the handling of fixed asset management including procurement, stock checks, and supply distribution.
  • Register inventory and conduct regular physical inventory audits.
  • Ensure efficient and secure internal and external correspondence.
  • Manage dispatch of requested items to/from departments and branches.
  • Support upon the records keeping of vehicle usage, repairs, and servicing schedules.

2. Procurement Responsibilities

  • Gather and analyze vendor data to assist in supplier selection.
  • Procure office materials, fixed assets, and inventory in accordance with company procedures.
  • Provide timely administrative and logistical support to all branches.

3. Government Relations

  • Manage processes related to stamp duty, commercial tax, and other regulatory compliance matters.
  • Coordinate and submit applications for signboard tax.

4. Employee Support

  • Facilitate visa applications, Form C, and FRC processes for foreign employees.
  • Coordinate hotel accommodation and travel arrangements for staff, including booking air tickets.
  • Organize company events and support logistics for employee functions.

5. General Responsibilities

  • Report daily administrative activities and updates to supervisors.
  • Provide comprehensive administrative support to department heads and management.

Job Requirements

  • Bachelor’s degree in any related field.
  • Minimum of 3 years of proven experience in administrative management.
  • Strong understanding of office management systems, procedures, and administrative best practices.
  • Solid knowledge of vehicle management and maintenance coordination.
  • Proficient in Microsoft Office applications, especially Excel, Word, and PowerPoint.
  • Willingness and ability to travel based on business needs.
  • Able to work effectively under pressure and manage multiple tasks.
  • Strong problem-solving skills and a high level of interpersonal communication.
  • Ability to communicate clearly and professionally with staff at all levels.
  • Positive, proactive attitude with a strong team-oriented mindset.
  • Flexible and adaptable to dynamic work environments and changing priorities.
